High school diploma or GED
Experience working in a student-centered or customer-oriented environment
Knowledge of common office applications including Microsoft 365 and Zoom
Strong organizational, multi-tasking, and time-management skills
Strong interpersonal, verbal, and written communication skills
Ability to complete assignments accurately and with attention to detail
Ability to supervise and prioritize work of student employees to ensure completion of projects
Ability to work independently and as part of a collaborative team
Ability to maintain focus in a fast-paced environment
Ability to respond to stressful situations with professionalism and composure
Preferred Qualifications
Bachelor’s degree
Knowledge of Texas State University policies and procedures
Knowledge of Texas State University software systems
Experience working with college students
Experience monitoring and balancing budgets
Job Description
The Administrative Assistant II provides administrative and clerical support to Liberal Arts Advising, supervises student employees, and oversees front desk/reception area operations.
Job Duties
Oversee front desk operations and foster a professional/student-centered environment in the reception area
Open and close the office at set times
Greet, screen, and route visitors in a courteous manner
Assist students, parents, faculty, staff, and visitors by answering questions and/or referring to appropriate campus resource
Answer multi-line telephone, screen and transfer calls, take messages, and refer to other offices as appropriate
Maintain multi-user electronic calendar and schedule appointments for advising center staff
Recruit, screen, and hire student employees
Provide initial and ongoing training to student employees
Create student employee schedules; track and approve pay in SAP
Monitor advising center inbox and respond/forward emails appropriately
Order office supplies, track expenditures, and reconcile budget
Monitor inventory of office technology and assist with replacement purchase process
Submit facility-related requests, as well as track and perform follow-up
Develop and maintain accurate and comprehensive records and files according to the record retention schedule
Coordinate travel arrangements and track all travel related requisitions and expense reports
Other duties as assigned
