  • High school diploma or GED

  • Experience working in a student-centered or customer-oriented environment

  • Knowledge of common office applications including Microsoft 365 and Zoom

  • Strong organizational, multi-tasking, and time-management skills

  • Strong interpersonal, verbal, and written communication skills

  • Ability to complete assignments accurately and with attention to detail

  • Ability to supervise and prioritize work of student employees to ensure completion of projects

  • Ability to work independently and as part of a collaborative team

  • Ability to maintain focus in a fast-paced environment

  • Ability to respond to stressful situations with professionalism and composure

Preferred Qualifications

  • Bachelor’s degree

  • Knowledge of Texas State University policies and procedures

  • Knowledge of Texas State University software systems

  • Experience working with college students

  • Experience monitoring and balancing budgets

Job Description

The Administrative Assistant II provides administrative and clerical support to Liberal Arts Advising, supervises student employees, and oversees front desk/reception area operations.

Job Duties

  • Oversee front desk operations and foster a professional/student-centered environment in the reception area

  • Open and close the office at set times

  • Greet, screen, and route visitors in a courteous manner

  • Assist students, parents, faculty, staff, and visitors by answering questions and/or referring to appropriate campus resource

  • Answer multi-line telephone, screen and transfer calls, take messages, and refer to other offices as appropriate

  • Maintain multi-user electronic calendar and schedule appointments for advising center staff

  • Recruit, screen, and hire student employees

  • Provide initial and ongoing training to student employees

  • Create student employee schedules; track and approve pay in SAP

  • Monitor advising center inbox and respond/forward emails appropriately

  • Order office supplies, track expenditures, and reconcile budget

  • Monitor inventory of office technology and assist with replacement purchase process

  • Submit facility-related requests, as well as track and perform follow-up

  • Develop and maintain accurate and comprehensive records and files according to the record retention schedule

  • Coordinate travel arrangements and track all travel related requisitions and expense reports

  • Other duties as assigned
