Description

We are looking for a highly organized and proactive Executive Assistant to provide comprehensive support to senior leadership. This role requires exceptional attention to detail, the ability to manage multiple priorities, and strong communication skills to ensure the efficient operation of executive-level activities. Based in San Leandro, California, this is a long-term contract position offering the opportunity to make a significant impact in a dynamic environment.

Responsibilities:

• Maintain and manage executive calendars, ensuring appointments and meetings are accurately scheduled and conflicts are resolved.

• Arrange and coordinate travel logistics, including booking flights, accommodations, and transportation for seamless travel experiences.

• Prepare and organize materials for executive meetings, including agendas, reports, and presentations.

• Track and monitor project goals, ensuring deadlines are met and progress aligns with organizational objectives.

• Serve as the primary point of contact for communication between executives and internal or external stakeholders.

• Handle confidential information with discretion and professionalism at all times.

• Assist in coordinating special events, team-building activities, and other executive-level engagements.

• Support executives with administrative tasks such as expense reporting and document preparation.

• Identify and address potential scheduling or logistical issues to ensure smooth operations.

• Collaborate with cross-functional teams to support executive initiatives and priorities.

Requirements • Minimum of 2 years of experience as an Executive Assistant or in a similar administrative role.

• Demonstrated proficiency in managing complex calendars and scheduling.

• Experience in booking and coordinating travel arrangements, including international travel.

• Strong organizational and multitasking skills to manage competing priorities effectively.

• Excellent verbal and written communication abilities.

• Proficiency with project management tools and software.

• Ability to track and report on progress toward organizational goals.
