Robert Half Operations Specialist in San Francisco, California
Description We are looking for a highly skilled Operations Specialist to join our dynamic team in San Francisco, California. In this role, you will oversee essential HR and operational functions, ensuring smooth day-to-day processes while contributing to long-term organizational growth. This is a Contract to permanent position, offering an excellent opportunity to showcase your expertise in human resources, office management, and operations.
Responsibilities:
• Manage end-to-end recruitment processes, including resume screening, interview coordination, and offer extensions, while collaborating with external recruiters.
• Lead onboarding and offboarding initiatives, ensuring smooth transitions for new team members and departing employees, including documentation, benefits, and systems access.
• Administer employee benefits programs, oversee annual open enrollment, and maintain accurate records in compliance with federal and state regulations.
• Coordinate employee immigration and visa documentation, acting as a liaison with immigration counsel and supporting work authorization processes.
• Oversee vendor relationships and facilities management, ensuring office supplies, equipment, and operations meet organizational standards.
• Serve as the primary point of contact for IT consultants, managing software licenses, hardware purchases, and technology-related needs.
• Organize and execute internal events, manage employee travel arrangements, and handle logistics for presentations and meetings.
• Ensure compliance with employment laws and regulations, maintaining accurate and up-to-date employee records.
• Provide occasional executive support, including calendar management and license renewals for firm principals.
• Monitor and maintain the overall appearance and functionality of office spaces, ensuring a productive and welcoming environment. Requirements • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent relevant experience.
• 3–5 years of experience in HR, operations, or office management, ideally within a detail-oriented services or design-oriented organization.
• Strong knowledge of federal and state employment laws, HR compliance requirements, and record-keeping practices.
• Proficiency in Microsoft Office Suite and adaptability to learn and manage new software platforms.
• Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines efficiently.
• Excellent written and verbal communication skills, with a proven ability to collaborate effectively in team environments.
• Self-motivated and detail-oriented, capable of working independently to handle diverse responsibilities.
• Familiarity with immigration and visa processes is a plus, as is experience in an architecture or design firm. TalentMatch®
