The Brattle Group Facilities Services Assistant in San Francisco, California
The Brattle Group, a privately held, global economics consulting firm, is looking for a Facilities Services Assistant to join our San Francisco office. The Facilities Services Assistant (FSA) is responsible for the daily general San Francisco office maintenance including but not limited to: serving as initial contact for San Francisco employees with facilities-related issues, coordinating repair and maintenance with vendors and building management, coordinating furniture and supply orders, operating mailroom and copy center. This person also provides general office support and collaborates on special projects as needed. The balance between administrative and facilities responsibilities may vary depending on the needs of the office. The Facilities Services Assistant will pride themselves on providing high-quality customer service as well as consistently showing accuracy, neatness, thoroughness, and adherence to the Firm’s standards.
The FSA must have an understanding of facility operations and systems, the ability to organize and prioritize multiple tasks, and have demonstrated customer service skills with a wide range of clients, contractors, and colleagues.
Some of the day-to-day responsibilities of this role include:
Monitors maintenance needs and submits/coordinates action requests
Liaises with building management on facilities issues; escalates internally as needed
Communicates office notices from landlord (e.g., maintenance, alarms, elevator issues)
Coordinates vendors and contractors, ensuring compliance with building requirements (insurance, access, approvals)
Manages service providers and oversees service calls on-site when needed
Assists in vetting and sourcing vendors; evaluates relationships and maintains vendor directory
Reviews, tracks, and resolves vendor invoices and disputes
Manages vendor recognition (gifts/cards) within budget guidelines
Maintains inventory of furniture and equipment; coordinates repairs, replacements, and warranties
Procures furniture and equipment with management approval
Oversees office plant care and vendor coordination
Supports office projects (remodels, moves, workstation setups)
Manages building access (ID cards, security access) and office keys
Assists with emergency response and evacuation planning
Serves as first point of contact for visitors and employees
Processes invoices (coding, submission) and performs credit card reconciliation
Orders catering and supports office events, meetings, and client needs
Provides basic IT support as needed
Manages snack/beverage inventory and budget tracking
Ensures office cleanliness and organization (common areas, kitchens, conference rooms)
Maintains supplies (coffee, printers, stationery) and daily office readiness
Coordinates new hire setup (workspace, equipment) and conducts office tours
Handles administrative tasks (copying, scanning, mail distribution, postage)
Supports meeting logistics (Zoom setup, materials, catering)
Assists with internal social and marketing initiatives (events, mailings, holiday cards)
THE CANDIDATE
High school diploma required
3+ years of facilities or office experience preferred
Basic proficiency in Outlook, Excel, and Word
Ability to work in a fast-paced, multi-tasking environment
Strong customer service skills and positive attitude
Sound judgment and attention to detail
Adaptable and comfortable with change
Ability to lift/move items up to 40 lbs
Handles confidential information with discretion
Flexible for occasional after-hours/weekend work
Willingness to travel as needed
Brattle offers a competitive benefits package, base salary, and bonus program for eligible roles based on individual and firm performance. The anticipated base gross salary range for this position in San Francisco is $66,000 - $71,000 annually. Actual salary will depend on a variety of factors, including experience and training.
