Description We are looking for a highly organized Senior Administrative Assistant to join our team in San Diego, California. This Contract to permanent position offers the opportunity to work closely with high-level stakeholders, manage board activities, and streamline administrative processes. The ideal candidate will thrive in a fast-paced nonprofit environment and demonstrate exceptional communication and coordination skills.
Responsibilities:
• Coordinate all aspects of board meetings, including scheduling, drafting agendas, and preparing comprehensive board packets.
• Maintain and update board member bios and ensure website content is current and accurate.
• Take detailed meeting minutes and distribute notes promptly to relevant parties.
• Support multiple committees by facilitating communication, gathering feedback, and ensuring timely dissemination of updates.
• Manage virtual and in-person meetings, including annual retreats and onboarding sessions for new board members.
• Utilize tools such as Zoom, Google Workspace, shared drives, and Asana to organize and track tasks effectively.
• Establish a consistent routine for board and committee operations while adhering to documented policies and procedures.
• Collaborate closely with organizational leaders and directors to align administrative activities with strategic goals.
• Provide administrative assistance with scheduling, calendar management, and travel arrangements as needed.
• Foster positive relationships with board members and committee chairs, ensuring clear and effective communication. Requirements • Proven experience in administrative roles, particularly supporting boards or committees.
• Exceptional organizational skills with the ability to manage multiple tasks and deadlines.
• Strong communication skills, both written and verbal, with the ability to interact effectively with high-level stakeholders.
• Proficiency in tools such as Zoom, Gmail, Google Workspace, and project management platforms like Asana.
• Ability to take accurate meeting minutes and prepare detailed agendas and packets.
• Familiarity with nonprofit operations or experience in similar industries is highly desirable.
• Willingness to work remotely with occasional in-office requirements and travel for retreats or onboarding sessions.
