We have an exciting opportunity for a Facilities Operations Coordinator to join our Facilities Team in San Diego, CA!
The Operations Coordinator is designed to support the Director of Facilities while gaining exposure to strategic planning, operational coordination, and organizational management.
This position provides administrative, organizational, and project coordination support while learning how the Facilities organization operates at both the tactical and strategic levels. The role will assist with leadership communications, meeting coordination, project tracking, and departmental initiatives.
Over time, the position will progressively take on increased responsibility for coordinating strategic initiatives, supporting leadership decision-making, and managing cross-functional programs within the organization.
DUTIES AND RESPONSIBILITIES
Administrative Support
Coordinate calendars, meetings, and scheduling for the Director and leadership team
Prepare meeting agendas, notes, and action item tracking for leadership meetings
Assist with organizing leadership materials, reports, and presentations
Maintain documentation and records related to key initiatives and programs
Help ensure leadership priorities and tasks are tracked and followed through
Operational Coordination
Assist in coordinating cross-team activities and initiatives within the Facilities organization
Track progress on projects, operational initiatives, and action items
Support the development of reports, dashboards, and leadership updates
Help gather and organize operational data used for leadership decision-making
Coordinate follow-up activities related to departmental meetings or initiatives
Project and Initiative Support
Assist leadership in tracking key departmental initiatives and improvement efforts
Support the coordination of small projects or internal improvement initiatives
Help organize project timelines, milestones, and deliverables
Assist with documenting processes, procedures, and program materials
Participate in operational improvement efforts and process development
Communication and Organizational Support
Assist Director in preparing internal facilities operations communications, leadership updates, and briefings
Help maintain alignment across teams by ensuring clear documentation of decisions and action items
Support coordination between different departments, teams, and stakeholders
Assist in preparing presentation materials for leadership meetings or planning sessions

Job Qualifications:
Typically requires a bachelors degree in Business Administration or a related discipline and three or more years of progressive professional project administration experience. Equivalent professional experience may be substituted in lieu of education.
Must demonstrate a general understanding of project administration principles, theories, concepts and techniques.
Must have experience organizing, planning, scheduling, conducting, and coordinating work assignments to meet project milestones or established completion dates.
Must possess the ability to understand new concepts quickly and apply them in an evolving environment while contributing to the development of new processes.
Advanced proficiency in Microsoft Office Suite, including PowerPoint and Outlook
Ability to develop and create executive level presentations
Must be customer focused and possess:
ability to identify issues, analyze data and develop solutions to a variety of problems;
good analytical, verbal and written communication skills to accurately document, report, and present findings;
good interpersonal skills enabling an effective interface with other professionals; and
good computer skills.
Ability to work independently or in a team environment is essential as is the ability to work extended hours as required.
