Job Summary
Administrative Assistants
The Office of General Counsel is looking to hire an experienced Administrative Assistant. One of the primary functions will be assisting the Director of Record Request Response in overseeing the efficient operation and coordination of responses to records requests submitted to the University pursuant to state and federal law.
Perform a variety of administrative support duties for an individual, group, or department to ensure office operations run smoothly and efficiently. Create and maintain files; compile reports; and manage, store, and disseminate information, ensuring security and compliance of information. Assist in planning department activities, manage meeting calendars, and make travel arrangements. Track expenses, monitor and order supplies, and schedule maintenance repairs. Remain knowledgeable of group / department policies. May make contacts of a sensitive, complex, and confidential nature. May work for one or several department professionals, division heads, officers, or managers.

Responsibilities
Administrative Assistants, IV
Perform a variety of administrative support duties for an individual, group, or department to ensure office operations run smoothly and efficiently. Create and maintain files; compile reports; and manage, store, and disseminate information, ensuring security and compliance of information. Remain knowledgeable of group / department policies. May make contacts of a sensitive, complex, and confidential nature. May work for one or several department professionals, division heads, officers, or managers. Highest-level support. Performs advanced tasks under minimal supervision. May mentor less-experienced team members.
In collaboration with many University units, gather, review, and classify University documents; support records owners with records access and retention processes; and draft and review written responses to record requesters
Research and respond to records requests received by the University in a timely manner and using University systems
Interface with internal record keepers and members of the public regarding records requests
Write and edit responses to records requests and other correspondence from requesters
Track, manage, and maintain files in record keeping systems
Use appropriate technology to prepare documents for production in response to records requests, including extensive use of Adobe Pro to process pdf documents
Develop material to educate and train the University community about records requests
Prepare for and participate in appeal processes, hearings, and mediations related to records requests
Assist other department employees with various projects and programs as needed
Requires 5+ years of related experience. This is a Highly Skilled Level position in the Support track.
Minimum Qualifications
EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).
Administrative Assistants, IV: Requires 5+ years of related experience.
Preferences
Additional consideration will be given to candidates with experience with Utah’s Government Records Access and Management Act ( GRAMA ) and other state and federal law regarding access to records. Consideration will also be given to candidates with prior experience working in a law office.
