Responsibilities:
Coordinate complex travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries; proactively adjust plans as needed
Prepare, review, and submit expense reports in a timely and accurate manner, ensuring compliance with firm policies and resolving discrepancies
Manage busy and often shifting calendars for team members; schedule internal and external meetings, prioritize conflicts, and optimize time allocation
Coordinate logistics for meetings, including conference rooms, materials, and virtual meeting setup
Monitor and maintain office supplies and inventory, ensuring adequate stock levels and coordinating orders to support day-to-day team operations
Serve as a point of contact for routine administrative requests, exercising judgment to escalate or resolve issues as appropriate
Skills:
Strong organizational and time management skills with the ability to handle competing priorities in a fast-paced environment
High attention to detail, particularly in travel logistics and expense processing
Proficiency with standard office software (e.g., Outlook, Excel, expense management systems)
Effective communication skills, both written and verbal
