Description We are looking for a highly organized and proactive Sr. Executive Assistant to join our team on a contract basis in Saint Paul, Minnesota. In this role, you will provide top-notch administrative support, ensuring seamless coordination of schedules, meetings, and team operations. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and brings a warm, detail-oriented approach to interactions with staff and clients.
Responsibilities:
• Oversee and coordinate executive calendars, ensuring all appointments and meetings are scheduled efficiently.
• Arrange complex travel plans and itineraries, handling all logistical details with precision.
• Facilitate executive meetings by preparing agendas, taking detailed minutes, and following up on action items.
• Manage program and staff schedules to ensure smooth daily operations and proper resource allocation.
• Serve as the primary point of contact for internal and external stakeholders, fostering positive relationships.
• Provide administrative oversight, including document preparation, record-keeping, and correspondence management.
• Collaborate with team members to ensure seamless cross-training and operational continuity.
• Address and resolve scheduling conflicts while maintaining a high level of confidentiality and attention to detail.
• Support the team by identifying and implementing process improvements to enhance efficiency. Requirements • Proven experience as an Executive Assistant or in a similar administrative role.
• Strong skills in calendar management, including coordinating schedules across multiple stakeholders.
• Demonstrated ability to manage travel arrangements, including flights, accommodations, and transportation.
• Proficiency in planning and organizing executive meetings, including agenda preparation and follow-up.
• Exceptional multitasking and time management abilities in a dynamic work environment.
• Excellent interpersonal skills, with a warm and detail-oriented approach to communication.
• High level of attention to detail and accuracy in administrative tasks.
