BAE Systems Maintenance Program Documentation Specialist in Saint Marys, Georgia
Job Description
The ideal candidate is a Subject Matter Expert (SME) in the Navy Maintenance and Material Management (3M) program (NAVSEAINST 4790.8 series) with SWS operational experience on OHIO Class submarine platforms. This role is responsible for translating legacy maintenance requirements and procedures into SKED, validating and verifying data integrity, and authoring programmatic policy and guidance (e.g., Ordnance Documents (ODs), Strategic Systems Programs Instructions [SSPINSTs]) aligned to 3M and SSP policy.
This is a highly visible role requiring proactive coordination across Navy stakeholders, SSP Technical Branches, and internal program teams. Communication and collaboration will be evaluated equally alongside applied technical experience.
This position is responsible for:
Maintenance Program Transition
Translate and migrate legacy PMMP maintenance requirements, periodicities, asset structures, and scheduling logic into SKED.
Ensure accuracy and completeness of migrated requirements through defined quality checks, audit trails, and reconciliation methods.
Support configuration alignment with 3M constructs and applicable program policy and governance.
Policy, Governance, and Guidance Authoring
Author, update, and maintain programmatic documentation (e.g., ODs, SSPINSTs, program guides, work instructions) governing SKED usage and maintenance planning workflow
Convert legacy guidance into a standardized 3M/SKED policy framework, including roles/responsibilities, process controls, and closed-loop feedback.
SWS Maintenance Planning Alignment
Apply deep SWS operational/technical knowledge to ensure SKED schedules reflect fleet execution realities, technical branch inputs, and equipment maintenance intent.
Coordinate with stakeholders to resolve requirement conflicts and ensure maintainability operability, and compliance.
Gap Analysis and Requirements Resolution
Identify gap/discrepancies between legacy PMMP guidance, SKED capabilities, and 3M policy requirements.
Developing mitigation approaches (process change, documentation updates, SKED configuration updates, stakeholder decisions) and drive closure to compliance.
Validation & Verification
Perform detailed audits of SKED builds against 3M standards, SSP policy, and program baselines.
Establish and execute verification methods (sampling strategy, exception reporting, peer review, technical review) and maintain traceability.
Continuous Program Support
Provide ongoing support for the maintenance program, including routing updates, change control, stakeholder working groups, and continuous improvement of documentation and SKED usage.
Required Education, Experience, & Skills
Minimum education and years of relevant / related experience required:
Bachelor s degree in engineering or related field and at least 4 years related/relevant work experience
Associate s degree in engineering or related field and at least 6 years related/relevant work experience or high School diploma and at least 8 years related/relevant work experience
Significant SWS and/or 3M experience, including programmatic documentation/policy experience
U.S. Navy operational experience in SWS or 3M (e.g., 3M Coordinator, SWS Senior Enlisted, maintenance planning leadership roles)
Demonstrated proficiency applying NAVSEAINST 4790.8 series maintenance policy to real-world maintenance planning and documentation
OHIO Class platform experience with deep knowledge of SWS equipment, subsystems, and maintenance requirements
Qualified in PMS 300 Series
Proficiency in SKED and 3M policy
Proven ability to write and maintain high-level policy/guidance documentation (ODs, SSPINSTS, technical program guides) with strong clarity, structure, and compliance orientation
Strong stakeholder engagement skills: ability to lead working sessions, drive decisions, document outcomes, and maintain accountability
Proficiency in Microsoft Office, including advanced Excel for reconciliation, audits, and reporting
Demonstrated experience executing or supporting a data/system migration or large-scale maintenance requirement conversion with verification and auditability
Working knowledge of configuration management/change control (versioning, baselines, controlled routing, impact assessment, decision logs)
Ability to create and maintain requirements traceability between legacy requirements, migrated SKED objects, and governing documentation
Experience producing repeatable Verification & Validation artifacts (audit reports, discrepancy logs, correction action tracking, metrics)
Experience creating metrics and dashboards to communicate progress and detect trends
Self-starter; operates effectively with minimal supervision in a high-visibility environment
Strong facilitation skills: lead reviews, drives closure, manages conflict professionally
Exceptional written communication produces controlled documents with clear governance and enforceable guidance
Strong planning, organization, follow-up, and risk/issue management discipline
High attention to details with a strong quality mindset
Preferred Education, Experience, & Skills
Direct experience with SKED configuration, schedule build/analysis, and reporting workflows
Prior experience supporting SSP program documentation and stakeholder review cycles
Background in SWS technical writing, curriculum development, or training material development
Understanding of reliability/maintainability fundamentals and maintenance strategy principles
Experience supporting government customer working groups and formal review/routing processes.
Pay Information
Full-Time Salary Range: $79365 - $134921
