Payroll Administrator

Job Description

The Payroll Administrator will process accurate and timely weekly payroll in a fast-paced construction environment supporting both union and non-union employees across multiple entities. This role ensures strict compliance with labor agreements, payroll regulations, and tax requirements while supporting audits and reporting. The position is critical to maintaining payroll continuity, accuracy, and compliance, and requires strong hands-on experience with union payroll and Viewpoint Vista.

Responsibilities

  • Process accurate and timely weekly payroll for multiple entities, including both union and non-union employee groups.

  • Administer union payroll in accordance with collective bargaining agreements, including union dues, pension contributions, and benefit calculations.

  • Run payroll on a strict schedule, managing Wednesday and Friday payroll cycles for several entities without delays.

  • Ensure compliance with all applicable payroll regulations, including payroll tax filings, garnishments, and required audit documentation.

  • Use Viewpoint Vista as the primary payroll system to enter, verify, and process payroll data.

  • Support W-2 processing using Payrollatrix and ensure year-end payroll reporting is accurate and complete.

  • Independently identify, research, and resolve payroll discrepancies and issues with minimal oversight.

  • Maintain accurate payroll records and documentation to support internal and external audits.

  • Collaborate closely with Finance, HR, Operations, and the Payroll Manager to address payroll questions, resolve issues, and support cross-functional initiatives.

  • Handle sensitive payroll information with a high level of discretion, professionalism, and confidentiality.

  • Manage multiple deadlines and priorities in a moderate to fast-paced environment, especially during payroll processing days.

  • Contribute to continuous improvement of payroll processes, controls, and documentation to enhance accuracy and efficiency.

Essential Skills

  • At least 3+ years of payroll experience, preferably within the construction industry.

  • Proven experience processing union payroll, including working with collective bargaining agreements, union dues, pension, and benefits.

  • Hands-on experience with Viewpoint Vista for payroll processing.

  • Strong understanding of payroll compliance, including payroll tax filings, garnishments, and audit documentation requirements.

  • Demonstrated ability to run payroll on strict weekly schedules for multiple entities.

  • High level of accuracy and attention to detail in payroll data entry and reconciliation.

  • Ability to independently identify, research, and resolve payroll discrepancies without extensive supervision.

  • Strong organizational skills with the ability to manage multiple deadlines and priorities.

  • Clear and professional communication skills, with the ability to work effectively with Payroll, Finance, HR, and Operations teams.

  • Demonstrated discretion and professionalism when handling confidential and sensitive payroll data.

Additional Skills & Qualifications

  • Construction industry payroll experience, including union and non-union populations.

  • Experience with multi-state payroll processing.

  • Familiarity with certified payroll requirements.

  • Experience using Payrollatrix for W-2 processing.

  • Accounting or payroll accounting experience supporting accurate financial reporting.

  • Ability to ramp up quickly and learn processes with minimal overlap during transitions.

Work Environment

This role operates within a construction company environment that supports both union and non-union employee populations. The Payroll Administrator works as part of a Finance/Payroll team with close collaboration across Finance, HR, Operations, and leadership. The position carries high accountability with strict deadlines and strong compliance requirements, particularly around weekly payroll processing days. The pace is moderate to fast, with increased intensity on payroll days, and the environment emphasizes accuracy, confidentiality, and cross-functional communication.

Job Type & Location

This is a Contract to Hire position based out of Saint Louis, MO.

Pay and Benefits

The pay range for this position is $22.00 - $36.00/hr.
