Front Desk Associate -- Preferred Chiropractic PLLC

Position Summary The Front Desk Associate serves as the first point of contact for patients entering the clinic. This role is responsible for creating a warm, welcoming environment while efficiently managing administrative and scheduling tasks that keep the office running smoothly. The ideal candidate is personable, detail-oriented, and able to multitask in a fast-paced healthcare setting.

Key Responsibilities

Patient Interaction & Customer Service

  • Greet patients warmly upon arrival and ensure a positive first impression.
  • Answer phone calls, respond to inquiries, and provide accurate information about services, office policies, and appointment availability.
  • Check patients in and out, ensuring all demographic and insurance information is accurate.
  • Assist patients with forms, intake paperwork, and follow-up instructions.
  • Maintain exceptional customer service, addressing patient concerns with professionalism and empathy.

Scheduling & Appointment Management

  • Schedule, modify, and confirm appointments using clinic scheduling software.
  • Manage provider calendars to ensure efficient patient flow.
  • Communicate appointment reminders and handle cancellations or rescheduling requests.
  • Track patient visit counts and ensure compliance with care plans.

Billing & Administrative Support

  • Collect payments, copays, and outstanding balances at check-out.
  • Maintain accurate financial and patient records.
  • Assist with filing, scanning documents, and maintaining organized charts.
  • Support office staff and chiropractors with various administrative tasks as needed.

Office Maintenance & Professionalism

  • Keep the front desk and waiting area clean, orderly, and stocked with necessary materials.
  • Ensure a professional atmosphere that aligns with the clinic's values.
  • Follow privacy and HIPAA guidelines to protect patient information.

Qualifications

  • Strong Attendance record
  • Previous experience in a chiropractic, medical, or wellness office preferred, but not required.
  • Strong customer service and communication skills.
  • Proficiency with computers and scheduling or EHR systems (training provided if necessary).
  • Ability to multitask and stay organized in a busy environment.
  • Professional appearance and friendly demeanor.
  • High school diploma or equivalent.

Physical Requirements

  • Ability to sit, stand, or walk for extended periods.
  • Occasional light lifting of office materials or supplies.
