Job Description

As a Project Manager Associate, you will play a crucial role in supporting the Lead Project Manager in managing complex capital, validation, and facility projects within a GMP-regulated sterile pharmaceutical environment. Your primary responsibility will be to transform PM lead directions into professional, audit-ready deliverables, ensuring leadership has precise, up-to-date information for decision-making. This high-visibility role involves direct daily interaction with the PM lead, offering you the opportunity to learn pharmaceutical project execution from the inside while maintaining organization, timeliness, and compliance.

Responsibilities

  • Provide direct support to the Lead Project Manager by converting verbal instructions or quick notes into structured documents and deliverables.

  • Maintain perfect version control and organized project folders.

  • Prepare professional meeting minutes and live action-item trackers during meetings organized by the PM lead.

  • Build and maintain master project trackers and timelines, CAPEX/OPEX budget trackers, risk registers, issue logs, and executive PowerPoint decks for leadership and board updates.

  • Create project charters, executive summaries, and technical memos.

  • Update Microsoft Project schedules daily based on team inputs and track cross-functional deliverables.

  • Flag delays or missing information to the PM lead on the same day and reconcile data between departments before any leadership report goes out.

  • Serve as the single source of truth for project data, ensuring consistency across files, trackers, and presentations.

  • Coordinate with the Global Operations team to track and maintain accurate inventory levels for project-related materials.

  • Monitor stock levels, usage trends, and forecast needs to prevent shortages during project execution.

  • Work directly with vendors to expedite deliveries, resolve supply issues, and ensure timely arrival of materials.

  • Facilitate procurement and sourcing activities, including raising purchase requests and coordinating inbound logistics.

  • Reconcile inventory records between departments and project trackers to maintain data accuracy.

  • Attend offshore calls as needed to get updates from the logistics team located in India.

  • Perform other duties as assigned by the Lead PM.

Essential Skills

  • Bachelor’s degree in Life Sciences, Engineering, Business, Supply Chain, Project Management, or a related field.

  • 0–2 years of relevant experience

  • Advanced proficiency in Microsoft Excel (pivot tables, formulas, dashboards, data validation).

  • Professional-level PowerPoint skills for executive-ready decks.

  • Basic knowledge of Microsoft Project for schedule updates and Gantt charts.

  • Experience with shared drives and document control systems.

  • Exceptional organizational skills and attention to detail.

  • Ability to quickly turn vague direction into structured, professional outputs.

  • Proactive mindset with strong coordination and follow-up skills.

  • Clear written and verbal communication.

  • High level of discretion with confidential project information.

  • Comfortable working in a GMP-regulated environment.

Additional Skills & Qualifications

  • Exposure to pharmaceutical, biotech, or regulated manufacturing is preferred.

  • Experience with inventory tracking, vendor coordination, or procurement is a strong plus.

Work Environment

This role is primarily office-based at our Sacramento manufacturing facility with occasional entry into GMP production or warehouse areas. The position requires the ability to sit for extended periods and occasionally walk through production and warehouse areas. Occasional lifting of up to 20 lbs may be required. Pay and Benefits

The pay range for this position is $52000.00 - $62400.00/yr.
