Essential Duties & Responsibilities
Handles scheduling and logistics for research team meetings and activities to ensure efficient use of time and resources
Assists in the drafting and submission of research proposals and grant applications, ensuring compliance with funding requirements
Maintains accurate and up-to-date documentation related to research projects, including presentations and detailed reports
Supports financial management tasks, including tracking expenses, preparing financial reports, and assisting with budget forecasting
Ensures adherence to research governance and compliance guidelines to maintain project integrity and institutional standards
Facilitates communication and coordination between project stakeholders, enhancing collaboration and information flow
Other duties as assigned
Knowledge, Skills, & Abilities
Knowledge of financial, procurement, HR, and compliance policies and procedures related to research administration
Knowledge of grant writing and proposal development that aligns with state and federal grant/sponsorship laws and regulations and RIT policies and procedures
Skill in project management and organization to manage schedules, resources, and project timelines efficiently in a dynamic environment
Skill in effective communication and collaborating with internal and external stakeholders
Ability to manage multiple projects simultaneously and prioritize tasks effectively under pressure to meet deadlines
Ability to ensure accuracy and thoroughness in administrative and financial documentation
Minimum Education & Experience
Associate's degree in related field
5 years of relevant experience
Equivalent combination of experience and education may be considered

Prof. Seth Hubbard and the School of Physis and Astronomy at Rochester Institute of Technology is looking to hire a full-time Research Program Administrator (RPM) to run many of the day-to-day operations associated with the large portfolio of sponsored research programs under his purview. This position reviews and supports pre- and post-award budgets and grant finances from government grants, foundations and/or other grant-award bodies. The RPM will administer all research grants, provide reports on research activity, coordinate salary allocations, and manages research-based finances and accounts, as well as perform accounting activities and reconcile federal research accounts including subcontracts, and monitor all account balances and expenditures to ensure compliance with sponsor regulations. The RPM will work closely with the Dr. Seth Hubbard and Dr. Jing Zhang and assist other Principle Investigators (PIs) in SoPA, as well as Sponsored Programs Accounting and Sponsored Research Service personnel supporting program-level planning and goal setting. In addition, with support from the RIT sponsored research and finance teams, the individual is responsible for executing laboratory business operations in accordance with contract requirements and RIT policies and procedures. Other departmental duties may include placing complex purchase orders, tracking research expenditures, travel reimbursements and student hiring on research projects.
