PathStone Corporation Program Assistant, WCP in Rochester, New York
Salary Range: $17.69 To $32.77 Hourly
Summary Purpose for the Position
Provide clerical support and assistance to staff in all aspects of office function to ensure efficient and smooth daily operations of the office. Help with new client intake.
Requirements (Education, Experience, Certification, Knowledge, Skill)
High School diploma/GED
Primary technical and interpersonal skills in the secretarial field, typing skill for 60 wpm and basic computer skills. 1-year secretarial experience.
Must demonstrate strong written, verbal and electronic communication skills that demonstrate the ability to interpret and provide clarification as needed.
Bilingual preferred (English/language of majority of families in the program
Position Responsibilities
Screen telephone calls for staff, maintain a message system for unavailable staff, provide routine information to callers and walk-ins, greet and direct office visitors to proper staff.
Type and proofread official and routine correspondence for management staff
Sort and distribute incoming and outgoing mail
Help with new client intake
Maintain accurate records
Maintain Client waitlist
Maintain WCP level inventory
Prepare and process accounts including office expenditures, timesheets TAERS, and data transmittals according to established procedures, order supplies and data forms
Assist in outreach/recruitment, follow-up, or other services as necessary
Adhere to established Work Plan and update as necessary or directed by Supervisor.

Adhere to PathStone’s Positive Guidance Policy.
Perform other job related duties as required or assigned.
Working Conditions/Environment
This position operates in a professional office setting that supports a team-based, service-oriented environment.
The role involves regular interaction with staff, clients, and community partners, requiring strong communication.
Daily activities include computer-based tasks, phone communication, document handling, and maintaining organized office systems.
The position may involve managing multiple tasks at once in a fast-paced environment while maintaining attention to detail and confidentiality, particularly during the client intake process.
Occasional light lifting of office materials (files, supplies, or equipment) may be required.
Transportation Requirement
Position does not require automobile, driver’s license and insurance.
