Job Description

Key Responsibilities

WAFI Readiness & Gap Closure

  • Verify and validate project readiness against all WAFI requirements

  • Confirm land ownership documentation, regulatory permits, approved designs, executed contracts, and project schedules

  • Establish and maintain a comprehensive WAFI gap register with clearly assigned accountability and defined closure deadlines

  • Identify and resolve all submission gaps prior to regulatory review to ensure compliance

WAFI Submission Management

  • Prepare, coordinate, and oversee the complete WAFI submission package

  • Ensure comprehensive alignment across all technical drawings, project schedules, contractual agreements, and phasing documentation

  • Implement strict document version control protocols to ensure only approved and authorized documents are submitted to regulatory authorities

Escrow & Financial Coordination

  • Coordinate the establishment and activation of escrow accounts in accordance with regulatory requirements

  • Ensure payment structures are aligned with verified construction progress and contractual milestones

  • Monitor and validate all escrow drawdowns against documented site progress

  • Identify and escalate any discrepancies between financial claims and actual construction advancement

Regulator Coordination (REGA)

  • Serve as the primary point of contact for all WAFI-related regulatory communications

  • Track, document, and manage all regulator comments, queries, and directives

  • Coordinate comprehensive responses across all stakeholders, including the developer, project management consultant, and contractor

  • Ensure consistency, accuracy, and clarity in all regulatory submissions

  • Ensure timely and complete resolution of all regulatory comments and requirements

Post-License Compliance

  • Monitor project execution against the approved WAFI schedule and specifications

  • Track and document all changes to project scope, design, phasing, or timeline

  • Determine when WAFI variation requests are required and coordinate necessary updates with regulatory authorities

  • Maintain ongoing compliance with all regulatory requirements throughout the project delivery lifecycle

Tracking & Reporting

  • Maintain comprehensive WAFI documentation covering all submissions, approvals, and identified risks

  • Provide regular status reports to management detailing progress, delays, and required actions

  • Deliver clear visibility on approval progress, regulatory blockers, and compliance status

Qualifications

  • Proven experience in stakeholder management, coordination, or a similar administrative role

  • Excellent written and verbal communication skills in English

  • Strong organizational and time management abilities with the capacity to manage multiple priorities simultaneously

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or equivalent tools

  • Demonstrated ability to build and maintain professional relationships across diverse groups

  • Experience with meeting coordination, scheduling, and event planning

  • Strong attention to detail and commitment to accuracy in documentation

  • Ability to work collaboratively in a team environment and support cross-functional initiatives

  • Problem-solving skills and a proactive approach to addressing stakeholder needs

  • Experience with project management tools or stakeholder engagement platforms (preferred)

  • Familiarity with stakeholder mapping and engagement best practices (preferred)

  • Knowledge of corporate governance or organizational management principles (preferred)
