GENERAL STATEMENT OF DUTIES:

The Dual Role Receptionist is a split position that provides front-desk reception coverage and administrative support for Elevations Clinic and RISE’s Main Office. The role manages daily reception operations at both locations, including greeting clients and visitors, answering and routing phone calls, and scheduling appointments while maintaining organized & efficient front office environments. This position will also receive cross-training in agency billing functions to support continuity of operations.

KEY ESSENTIAL FUNCTIONS:

Shared Reception Duties

  • Greet clients, visitors, and staff in a professional, courteous, and respectful manner.

  • Answer, screen, and route incoming phone calls; take and relay messages as needed.

  • Maintain a clean, organized, and welcoming reception area.

  • Schedule appointments and meetings as requested.

  • Manage high-volume phone and foot traffic while maintaining confidentiality and professionalism.

  • Perform other general front-desk administrative tasks assigned.

    Elevations Clinic-Specific Duties

  • Assist with client check-in and check-out processes.

  • Coordinate client flow with clinic staff to support efficient operations.

  • Follow clinic protocols related to privacy, safety, and HIPAA compliance.

  • Maintain accurate client records in both electronic and physical formats as required.

    Main Office-Specific Duties

  • Provide coverage and support for the Main Office Administrative Assistant when they are unavailable.

  • Assist the Executive Director and administrative leadership as requested.

  • Organize and support main office meetings and events, including coordinating supplies and deliveries.

  • Sort and distribute incoming mail; apply postage to outgoing mail and ensure postage machine is funded.

  • Manage office equipment (copiers, fax machines, and postage machine), including ordering supplies and coordinating repairs.

  • Distribute faxes and assign mailboxes to new staff as needed.

  • Prepare receipts for agency receivables (rent, cable, fundraising, etc.) and provide weekly reports.

  • Stock kitchen supplies throughout the day.

    Billing Cross-Training

  • Participate in cross-training for agency billing functions to support coverage and continuity of operations.

  • Assist with basic billing-related administrative tasks as assigned, under the direction of the Clinic Director.

  • Maintain confidentiality and accuracy when handling billing or financial information.

    QUALIFICATIONS :

    Education & Experience

  • High School Diploma or equivalent (required).

  • Minimum of 2 years of experience successfully working in a busy reception or front-office environment.

  • Experience in a healthcare or behavioral health setting is preferred but not required.

  • Prior experience providing administrative support or covering for an office administrative assistant is preferred.

    Skills & Competencies

  • Excellent verbal and written communication skills.

  • Strong interpersonal and customer service skills; able to interact professionally with clients, visitors, and staff.

  • Exceptional organizational skills and attention to detail.

  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and general office software.

  • Comfortable handling busy front desk environments and multiple simultaneous tasks.

  • Valid New York State Driver’s License.

  • Must be able to lift and move objects up to 20 lb.

  • Must be able to use a keyboard and sit for long periods of time.
