Position: Senior OTI Coordinator
The Senior OTI provides administration of OTI’s CASAC training program, under the direction of the Administrative Manager.
Job Scope
- Provide administration and oversight of the OTI CASAC program, including, but not limited to:
· Recruitment and marketing of CASAC Training Program, as well as timely response to inquiries into the program, and processing applications.
· Collects and tracks data required for grant reporting; provide summary reports reflecting the goals and outcomes of the grant requirements, and how funds received were utilized.
· Scheduling and conducting admissions interviews.
· Sending acceptance letters and payment contracts, processing payments.
· Interviews all prospective students for admission to OTI CASAC program and makes admission and scholarship decisions as a member of the Admissions Committee. Ensures that appropriate documentation is completed, that students are oriented to class, and have access to necessary documents and calendar.
· Addressing and managing student issues and inquiries.
· Interfaces with bookkeeping to bill grant for scholarship deliverables and tracks expenditures.
· Setting up and oversight of OTI functions in Digital Chalk Learning Management System (LMS).
· Assisting students, staff, and faculty to use the LMS.
· Setting up classes, entering student attendance, tracking completion of assignments and program, and billing in LMS.
· Monitoring of student payments and balances; working with students to ensure timeliness of payments.
· Ensures that student files are complete, up to date and are in compliance with all OASAS, Outreach and other applicable standards, regulations and funding requirements.
· Responds to inquiries and requests from alumni for certificates and transcripts.
· Ensures that students are notified of outstanding items that need to be completed prior to program completion and directs them to the appropriate staff/faculty member if needed.
· Preparation of reports on numbers of students in training, on leave, by scholarship
· Utilizes electronic administrative systems (including, but not limited to Digital Chalk LMS, Web-Ex, Zoom, Microsoft 365 One Drive, Outlook calendar, Adobe Acrobat) to maximize effectiveness & efficiency, and to assure access to data & information between sites & remotely.
· Trainers are notified and reminded of scheduled training; confirming instructors no later than one week ahead of the scheduled training to ensure appropriate delivery of OTI classes.
· Provides administrative support on live and virtual classes, opening the class and troubleshooting any student or trainer difficulties. Providing back up of the entire class if needed.
· Administer and proctor student online examinations.
· Provides oversight of the quality of OTI services and the performance of instructors and other consultants (job prep, intern supervision), reviews instructor evaluations, and in consultation with the director, provides feedback and direction to faculty to ensure services to students are consistent with OTI standards.
· Interfaces with and maintains relationships with ACCES-VR, and other funding agencies/vendors and ensures all updates and reports are provided, as required.
· Ensures eligible students are participating in career prep and/or internship supervision.
· Ensures timeliness of consultant invoice process and interfaces with bookkeeping/fiscal staff on all fiscal related issues.
· Ensures communication of relevant issues to OTI staff, students and teaching faculty.
· Ensures quality of customer interactions online, by phone and in person.

Position Status
This is a full-time nonexempt position. This position can be hybrid after successful completion of probationary period. Onsite location is Richmond Hill, Queens.
Work Environment
This job operates in a professional office environment and outside in the field. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Must be able to travel among assigned sites and locations as needed.
