Your role and responsibilities

As a Pipeline Coordinator, you play a critical role in keeping the recruitment engine running smoothly. You will manage candidate pipelines, coordinate interview scheduling, maintain high standards of ATS data accuracy, and support recruiters and selection specialists across multiple time zones to ensure efficient and timely hiring operations.

Your primary responsibilities will include:

• Provide Administrative Support: Deliver administrative excellence across recruitment operations, supporting end‑to‑end hiring activities with strong organization, accuracy, and attention to detail in a fast‑paced environment.

• Prescreen Candidates: Attract and prescreen candidates to ensure they meet client requirements and expectations.

• Ensure a Positive Experience: Create a positive experience for candidates and hiring managers by providing efficient and reliable administrative support to Selection Specialists throughout the hiring and onboarding processes.

Required technical and professional expertise

• Exposure to Recruitment Processes: Familiarity with the various stages of the hiring process, including candidate sourcing, interviewing, and onboarding.

• Administrative Support Experience: Experience working with administrative tasks, such as scheduling, data entry, and record-keeping, in a fast-paced environment.

• Communication Skills: Exposure to communicating effectively with diverse stakeholders, including hiring managers, candidates, and recruitment teams.

• Organizational Abilities: Experience maintaining a high level of organization and attention to detail while managing multiple tasks and priorities.

• Operational Activities Knowledge: Familiarity with operational activities related to hiring talent, such as job postings, candidate tracking, and interview coordination.

• Japanese language proficiency: JLPT N1 / N2 level, with the ability to communicate professionally with candidates, universities, and stakeholders.

• Fluent in English; reading, writing, and speaking.

• Innovative and agile, with the ability to adapt quickly in a fast‑paced recruitment environment.

• Strong attention to detail, organizational skills, and a proactive mindset when managing multiple requisitions and stakeholders concurrently.

Preferred technical and professional experience

• Recruitment Software Knowledge: Exposure to recruitment software and tools, such as applicant tracking systems, to streamline hiring processes and improve candidate management.

• Data Analysis Skills: Experience working with data to track hiring metrics, identify trends, and provide insights to inform recruitment strategies.

• HR Systems Familiarity: Familiarity with HR systems and processes, including compliance and regulatory requirements, to ensure seamless integration with recruitment activities.
