Manulife Advisor Onboarding and Transitions Analyst, Manulife Wealth in Quezon City, Philippines

The Advisor Onboarding & Transition Analyst serves as an analyst within Manulife Wealth, responsible for managing complex onboarding, transition, and maintenance activities for advisors across Canada. The role requires advanced technical expertise, broad understanding of multiple disciplines (operations, compliance, advisor lifecycle, regulatory requirements), and the ability to perform less structured, judgment‑based work assignments.

The Senior Administrator regularly coordinates small projects or workstreams, recommends solutions to atypical or ambiguous cases, and acts as a subject matter resource to internal partners. This role directly contributes to improving advisor experience, operational integrity, and regulatory compliance.

This position reports to the Manager, Advisor Onboarding of Manulife Wealth and directly supports the initiatives being managed and the accompanying change management.

  • Applying advanced knowledge to resolve complex onboarding/transitions issues.

  • Leading workflow improvements and participating in broader operational initiatives.

  • Providing informed recommendations on regulatory alignment, documentation standards, and process risks.

  • Using judgment to analyze issues that impact multiple teams or systems across Wealth Operations.

Position Responsibilities:

Onboarding Team Functions:

  • Manage onboarding cases requiring interpretation of incomplete or exceptional documentation.

  • Apply judgment to assess regulatory implications and determine appropriate corrective actions.

  • Resolve escalations related to complex onboarding requirements, account structures, or high‑impact advisor transitions.

  • Guide internal partners through unique onboarding scenarios and documentation exceptions.

  • Review high‑risk submissions and anticipate potential downstream impacts on operations, compliance, and compensation.

Transition Team Functions:

  • Review and validate complex advisor due‑diligence packages (e.g., multi‑entity structures, practice purchases, complicated KYA/legal requirements).

  • Ensure alignment with MFDA/IIROC standards by interpreting regulatory rules in context and advising on solutions for non‑standard cases.

  • Coordinate multi‑step transition activities that involve multiple internal functions (e.g., Compliance, Legal, Registration, Operations).

  • Troubleshoot and resolve system challenges or data conflicts resulting from larger practice transitions or advisor restructures.

  • Recommend procedural improvements based on emerging patterns, new regulatory expectations, or operational challenges.

Escalation & Collaboration

  • Serve as a key escalation point for onboarding exceptions or transition irregularities.

  • Analyze ambiguous situations, identify root causes, and propose solutions with minimal guidance.

  • Communicate nuanced, context‑rich recommendations to leadership and internal partners.

  • Anticipate risks and escalate proactively, ensuring data integrity and operational compliance.

Communication & Workflow Transparency

  • Testing or piloting new documentation standards, workflows, or systems.

  • Identifying inefficiencies and recommending process redesign to senior leaders.

  • Supporting implementation of operational changes affecting the advisor lifecycle.

  • Sharing best practices and providing informal coaching to peers.

Required Qualifications:

  • Amenability and readiness to work onsite and from home anytime (depending on business need and/or current external environment/situation.

  • Must be willing to work on a night shift work schedule.

  • Demonstrated expertise in onboarding, transitions, or financial services operations.

  • Strong ability to interpret regulatory requirements and apply them to diverse scenarios.

  • Excellent analytical, problem‑solving, and judgment skills.

  • Experience coordinating cross‑functional activities or process improvements.

  • High proficiency with multiple operational systems and workflow tools.

  • Strong communication and influencing skills.

  • Ability to manage competing priorities in a high‑volume, time‑sensitive environment.

  • Demonstrates advanced knowledge of onboarding, transitions, documentation practices, regulatory requirements, and operational systems.

  • Understands how multiple disciplines (compliance, operations, legal, compensation) intersect with onboarding processes.

  • Performs a range of less structured assignments, determining the best approach based on experience, judgment, and guidelines.

  • Operates with minimal oversight and regularly interprets policies for unique situations.

  • Coordinates small workstreams or projects requiring cross‑functional involvement.

  • Acts as a resource for peers on complex or ambiguous onboarding cases.

  • Provides expert insights to help shape future onboarding processes.

  • Recognizes how onboarding activities connect to broader Wealth Operations goals.

  • Considers business impacts, data integrity, and regulatory implications in decision‑making.

  • Communicates clearly the operational risks, impacts, and benefits of recommended action

Preferred Qualifications:

  • Experience in the financial services industry preferably with an IIROC or MFDA firm is an asset

  • Bilingual English/French skills are an asset but not required

  • Experience with CRM or workflow management tools

  • Familiarity with financial services or onboarding processes

  • Basic understanding of compliance or document requirements (e.g., forms, KYC)
