Title: Executive Assistant to CEOFLSA Status: Hourly (Non-Exempt)Department: ExecutiveWork Location: On-site (Princeton, KY)Reports to: CEOCompensationPay Range: $17-20/hourPosition SummaryThe Executive Assistant (EA) is responsible for managing the CEO’s calendar, travel, and day-to-day coordination in a fast-paced, operationally complex environment. This role requires structured thinking, anticipation, and the ability to manage shifting priorities across multiple time zones and stakeholders.This role requires prior experience supporting an executive with complex scheduling and travel logistics. The EA will bring structure, prioritization, and follow-through to the CEO’s workflow while supporting on-site coordination alongside business operations This is a unique opportunity to work directly with the CEO and gain exposure to how a business is built and operated in real time. The right candidate is curious, driven, and motivated to learn—someone who wants to develop business skills by being in the middle of execution and understands how to use technology to simplify our daily lives.Essential Duties and ResponsibilitiesCalendar & Prioritization ManagementOwn CEO calendar end-to-end, including scheduling, restructuring, and prioritizationManage a high-volume calendar across multiple time zones (ET ↔ PT)Prioritize meetings based on business impactResolve scheduling conflicts proactivelyEnsure CEO is prepared for all meetings with agendas, materials, and contextSystems & Process ImprovementImprove organization of calendar, communication, and task workflowsUtilize tools such as ChatGPT, Claude, and Gemini to increase efficiency (training provided)Identify opportunities to streamline repetitive administrative workActively look for ways to apply technology to simplify, automate, and improve workflowsTravel Planning & CoordinationOwn all CEO travel logisticsBuild efficient travel schedules aligned with business prioritiesMaintain itineraries and coordinationEnsure seamless travel execution across time zonesAnticipate and resolve travel-related issues proactivelyMeeting Preparation & CoordinationPrepare structured agendasEnsure clear objectives and expected outcomesCoordinate materials in advanceCapture notes, decisions, and action itemsTrack follow-ups and ensure completionFront Desk & On-Site SupportSupport front desk operations and visitor coordinationPartner with Business Administration Manager on retail store and facility prioritiesAssist with routing customer service escalationsProvide general on-site administrative support as neededSuccessful candidates believe:Curiosity Is Your CompassMotivated by growth, learning, and taking on increasing responsibilityStrong interest in technology and how it can improve how work gets doneAble to navigate web-based systems with ease and not intimidated by new toolsInterested in learning and applying AI tools in a practical, hands-on wayBelieves the impossible is funOwnership MentalityWants an opportunity to grow, not a job to show up toTakes initiative and looks for ways to improve how things are doneDesires building , not just maintainingHigh accountability and pride in outputIntegrity is the foundation of relationships Reliable, organized, and trustedFollows through on commitmentsCommunicates clearly verbally and in writingDo What You Say.
