About the Role:

Robert Half is seeking a detail-oriented and highly organized Administrative Coordinator on behalf of our nonprofit client in Poway, California. This opportunity supports a mission-driven organization focused on workforce development. The Administrative Coordinator will play a vital role in ensuring day-to-day operations run smoothly by managing schedules, maintaining accurate records, and facilitating communication across program participants and stakeholders.

Key Responsibilities:

  • Maintain accurate daily attendance records for apprenticeship program participants

  • Coordinate and manage enrollment schedules, ensuring deadlines and program timelines are met

  • Serve as the primary point of contact for instructors, students, and external stakeholders, ensuring clear and consistent communication

  • Respond to inquiries in a professional and timely manner, delivering excellent customer service

  • Perform high-volume administrative tasks with strong attention to detail and accuracy

  • Manage calendars and scheduling logistics to support program operations

  • Answer and route incoming calls, providing accurate information as needed

  • Partner with internal team members to resolve scheduling conflicts and administrative challenges

    Requirements

Qualifications:

  • 2+ years of administrative, program coordination, or customer service experience (nonprofit or education setting preferred)

  • Strong organizational and multitasking skills with high attention to detail

  • Excellent written and verbal communication skills

  • Proficiency in Microsoft Office Suite and calendar management tools

  • Ability to handle repetitive tasks with consistency and accuracy

  • Professional, proactive, and team-oriented mindset
