Position Overview
The Program Coordinator plays a key role in supporting the day-to-day operations of the clinic. This is a non-clinical position focused on staff coordination, organization, and maintaining a structured, positive environment.
This role works closely with leadership to ensure staff are supported, policies are followed, and operations run smoothly throughout the day.
Key Responsibilities
Staff Support & Accountability
- Provide day-to-day support to staff on the floor
- Reinforce clinic expectations, professionalism, and attendance standards
- Assist with addressing call-outs, lateness, and coverage needs
- Help ensure staff are following established policies and procedures
Hiring & Onboarding
- Assist with job postings and applicant screening
- Coordinate and schedule interviews
- Support onboarding of new employees (paperwork, orientation, initial training coordination)
Employee Files & Compliance
- Maintain organized employee records (licenses, certifications, trainings)
- Track required credentials and renewal dates
- Ensure all files remain up-to-date and audit-ready
Scheduling Support
- Assist with staff scheduling and daily adjustments
- Help coordinate coverage for absences or schedule changes
- Support maintaining safe staffing ratios
Operations Support
- Help maintain a structured and organized clinic environment
- Communicate updates and expectations from leadership to staff
- Assist with preparing for staff meetings and trainings
What This Role Does NOT Include
- No clinical responsibilities or therapy services
- No billing, payroll, or financial management
- No clinical decision-making (BCBA/LABA oversight remains separate)
Qualifications
- Previous experience in administrative, coordinator, or supervisory role preferred
- Experience in a healthcare, childcare, or clinic setting is a plus
- Strong organizational and time management skills
- Ability to communicate clearly and professionally
- Comfortable providing direction and maintaining expectations with staff
- Ability to problem-solve and adapt in a fast-paced environment
