POSITION PURPOSE
Administrative Service Coordinator supporting the Facilities Engineering (Buildings and Grounds) Department, Director and Manager at Trinity Health Oakland in Pontiac Michigan.
The Administrative Service Coordinator supports the workflow of the assigned Departments providing a variety of project management, daily operational functions and administrative support services. Performs all administrative activities to support smooth and efficient operations and seeks to improve functions/processes supported.
Full-time benefited position scheduled 40 hours per week Monday to Friday from 7 a.m. to 3:30 p.m. (NOTE: Position is fully on-site).
Compensation Range: Minimum $20.52 , Midpoint $25.14 , Maximum $29.75 , with placement in the range based on experience and internal equity.
MINIUMUM QUALIFICATIONS
Bachelor’s degree in business, communications, health care administration or equivalent work experience.
Two (2) years of experience in providing project management, communication or administrative support in a professional office. Experience in Healthcare environment preferred.

Strong interpersonal and communication skills, able to handle sensitive and confidential information while working with diverse stakeholders.
Effective presenter and communicator with the ability to negotiate, influence, and build trust at all levels of the organization.
Solid analytical and project management skills, able to manage details, prioritize work, and drive multi‑faceted projects to completion.
Customer‑service focused, responsive in fast‑paced environments, and able to achieve results through collaboration and initiative.
WHAT YOU WILL DO
Supports key stakeholders by identifying process improvement needs, communicating updates clearly, and facilitating meetings. Handles core project coordination tasks including documenting discussions, tracking action items, creating or refining presentations, monitoring engagement, and producing project plans, minutes, and other requested materials.
Provides individual contribution in problem solving efforts on selected projects to reduce defects, improve physician satisfaction, reduce cost and improve cycle time, rework, etc.
Identifies and works to remove barriers that slow or prevent the successful attainment of process/productivity improvement and administrative efficiency that will lead to cost reduction and competitive advantage.
Handles a range of administrative support tasks, including preparing reports and audits, processing forms, managing calendars for leaders, and drafting correspondence or creating documents such as tables, charts, and records.
Maintains supplies for the department needs, orders and maintains resources needed in support of special events, mailings, major appeals, recognition programs.
Organizes and arranges meetings, conferences, schedules, interviews and appointments often dealing with leaders and external guests. Completes travel arrangements and maintains business calendars. May be required to deal with sensitive and/or confidential information as needed.
Must be able to set and organize own work priorities and adapt to them as they change frequently. Must be able to work concurrently on a variety of tasks/projects in an environment that may be stressful due to time constraints.
