UPMC Children's Hospital of Pittsburgh is seeking an experienced Administrative Professional to support Surgical Services and multiple perioperative units, leaders, and staff. This position plays a key role in ensuring the smooth coordination of daily operations within a fast‑paced, highly collaborative clinical environment. The ideal candidate is an organized and adaptable administrative professional who is comfortable balancing multiple priorities, supporting senior leaders, and responding flexibly to evolving departmental needs.
This is a daylight, Monday-Friday position with 8‑hour shifts, aligned with standard Surgical and Perioperative Services hours (suggested schedule: 6:30 a.m. - 3:00 p.m. or 7:00 a.m. - 3:30 p.m.). The role offers an excellent work‑life balance with no nights, weekends, or holidays. Successful candidates will bring prior administrative experience, strong calendar management skills, and proficiency with Microsoft Office, along with the ability to hit the ground running while supporting a mission‑driven pediatric care team.
Responsibilities
Drafts presentations, reports, correspondence, meeting minutes, and communications based on general guidance from department leadership.
Plans and coordinates meetings, conferences, and events for department leadership, including logistics, venues, and catering.
Manages supervisor calendars, proactively schedules meetings, and ensures meeting flow and effectiveness.
Maintains accounting and budget records, including expense reports and travel arrangements.
Develops and analyzes reports for executives or departments; evaluates complex data requests and identifies trends.
Reviews administrative procedures and recommends process improvements to enhance efficiency.
Provides comprehensive administrative support to a department or group of professionals, including all responsibilities of an Administrative Assistant (Intermediate).
High school diploma or equivalent.
Minimum of five (5) years of progressively responsible administrative support experience for Sr level.
Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, databases).
Strong knowledge of business processes, accounting, and financial principles.
Demonstrated ability to analyze data, exercise discretion, and apply independent judgment.
Clearances & Certifications
- Act 31 Child Abuse Reporting, Act 33, Act 34, and Act 73 FBI Clearance (all with required renewals).
