The LAB Client Supply Services Representative provides professional, respectful, and high-quality customer service to internal and external customers for all client supply orders. This role processes and manages incoming supply requests, ensures accurate data entry and timely order fulfillment, supports compliance with supply utilization programs, and collaborates closely with logistics and supply chain teams. The position requires strong communication, attention to detail, and the ability to work effectively in a dynamic, fast-paced environment.
Responsibilities
Provide professional, respectful, and friendly customer service to internal and external clients regarding client supply orders, emergency requests, order status, backorders, returns, and general supply-related inquiries.
Serve as a primary point of contact for client supply services, consistently promoting a positive supply chain brand and a culture of service.
Process all incoming client supply orders, ensuring they are accurately entered into information systems and filled, confirmed, and delivered in a timely manner.
Enter client supply orders into systems such as StockClerk and IReq, and ensure proper order flow for automated orders received through multiple channels.
Track order status and maintain applicable order metrics to support accurate reporting and continuous improvement.
Ensure compliance with client supply utilization programs and all applicable laws and regulations related to issuing supplies.
Perform offsite receiving functions using information systems for locations that do not have a dedicated supply chain coordinator or designee.
Work closely with the logistics team on the routing and coordination of supply deliveries to internal and external clients.
Utilize existing information systems to document customer feedback and capture relevant client supply services data for reporting and analysis.
Maintain accurate data entry of supply requisitions and related information in internal databases and tools.
Collaborate effectively with a diverse internal team to resolve issues, support operational needs, and ensure a seamless supply experience.
De-escalate challenging or upset customer interactions in a calm, professional, and solution-oriented manner.
Demonstrate professionalism, strong organization, and attention to detail in all aspects of work.
Contribute to a positive, team-oriented work environment by communicating clearly, sharing information, and supporting colleagues as needed.
Essential Skills
Minimum of two (2) years of previous experience in customer service with data entry responsibilities.
High school diploma or equivalent.
Ability to communicate effectively verbally and in writing with a wide variety of customers and personalities while maintaining a positive and upbeat attitude.
Ability to read, write, and clearly communicate in English.
Strong customer service skills with the ability to handle inquiries, issues, and requests professionally.
Basic math skills and problem-solving ability to support order accuracy and issue resolution.
Ability to work effectively in a dynamic, rapidly changing business environment.
Excellent collaboration skills and ability to work productively on a diverse team.
Basic skill level in Microsoft Excel.
Proficiency with computer systems and databases, including data entry and navigation in internal order systems.
Strong attention to detail and organizational skills to ensure accurate order processing and documentation.
Strong communication skills, with the ability to articulate work clearly and professionally.
Demonstrated ability to maintain positive relations with a diverse internal team and external customer base.
Professional demeanor with the ability to remain well-tempered and composed when dealing with upset or frustrated customers.
Solution-oriented mindset with a focus on resolving issues and supporting customer needs.
Additional Skills & Qualifications
Associate degree or higher level of education is preferred.
Two (2) years of previous supply management experience within a clinical or diagnostic laboratory industry is preferred.
Demonstrated experience in a direct customer-facing role.
Experience using StockClerk software is a plus.
Experience working with internal order databases such as IReq or similar systems.
Bilingual ability in English and Spanish is a plus.
Strong teamwork and collaboration skills with a focus on supporting shared goals.
Demonstrated professionalism, reliability, and a strong sense of ownership over tasks.
Experience working in a supply chain, logistics, or fulfillment environment is beneficial.
Work Environment
This role is part of a small, collaborative team within a supply chain and fulfillment center that supports internal laboratory clients, including PSCs and IOPs at lab sites. The position is primarily desk-based and involves extensive use of computer systems, including internal databases such as StockClerk and IReq, as well as Microsoft Excel. The typical work schedule is Monday through Friday, with shifts of 6:30 a.m. to 3:00 p.m. or 7:00 a.m. to 3:30 p.m. The environment is dynamic and fast-paced, with frequent interaction by phone and electronic communication with internal and external customers. Team members work closely together to manage order flow, coordinate deliveries, and respond quickly to changing business needs. Pay and Benefits
The pay range for this position is $17.16 - $26.85/hr.
