Job Description
We are seeking a proficient and hands-on accounting leader to manage the day-to-day financial operations of a small-sized nonprofit organization. The role involves overseeing all core accounting functions, ensuring accurate and timely financial reporting, maintaining strong internal controls, and supporting compliance with financial and regulatory requirements. You will work closely with the CEO and serve as a key resource for internal teams and operations.
Responsibilities
Perform and oversee all day-to-day accounting activities, including general ledger, accounts payable, accounts receivable, and monthly close.
Process invoices, manage vendor payments, track receivables, and ensure timely collections.
Prepare accurate monthly, quarterly, and annual financial statements in accordance with GAAP.
Manage bank, credit card, and balance sheet reconciliations; prepare journal entries and account analyses.
Oversee and process employee expense reports using Concur and ensure compliance with organizational policies.
Maintain the chart of accounts and ensure proper coding of expenses, including program and grant allocations.
Support budget development, forecasting, and variance analysis for programs and departments.
Prepare financial reports and dashboards using Power BI for internal and leadership reporting.
Partner with Human Resources to oversee payroll processing in Paylocity, including review, reconciliation, and compliance with applicable regulations.
Maintain financial data integrity across systems including QuickBooks and Salesforce.
Serve as the primary point of contact for external auditors; prepare audit schedules, support audit requests, and ensure timely completion of audits.
Support tax filings and regulatory reporting, including Form 990 and applicable state filings.
Ensure compliance with nonprofit accounting standards, donor restrictions, and internal controls.
Identify and implement process improvements to increase efficiency and accuracy.
Serve as a financial resource to staff, providing guidance on expense coding, reimbursements, and financial procedures.
Essential Skills
Bachelor’s degree in accounting required.
Minimum of five (5) years of hands-on accounting experience, preferably in a nonprofit or small organization.
Proficiency with QuickBooks, particularly transitioning from Desktop to Online.
Advanced Excel skills, including macros.
Strong understanding of GAAP and nonprofit accounting principles, including restricted and unrestricted funds.
Experience processing invoices, receivables, and expense reports.
Experience with Concur or similar expense management systems.
Payroll experience, including processing or coordinating payroll and related reconciliations.
Working knowledge of Power BI or similar reporting tools.
Experience supporting audits and working directly with external auditors.
Experience with budgeting, audits, and financial compliance.
Strong attention to detail, organization, and follow-through.
Ability to work independently in a lean, hands-on environment.
Clear communication skills and ability to partner effectively with non-finance staff.
Additional Skills & Qualifications
Experience with Salesforce, Velocity, Bill.com, and Paylocity.
Experience in a member-driven, collaborative environment focused on consensus and shared problem-solving.
Work Environment
The work environment is a blend of in-office and remote work, with office days from Tuesday to Thursday and work-from-home options on Monday and Friday. Office hours are from 8-4 or 9-5. The organization comprises 25-50 employees and operates with a mission to protect patient safety by improving the integrity of the healthcare supply chain. Job Type & Location
This is a Contract position based out of Philadelphia, PA.
Pay and Benefits
The pay range for this position is $50.00 - $60.00/hr.
