WSP USA Business Support Administrator in Perth, Australia

We’re looking for a Business Support Administrator to join our Perth office on a six‑month fixed‑term, full‑time contract , with the possibility of extension to support parental leave coverage.

Reporting to the Business Support Team Manager, you’ll be part of a national team providing high-quality administrative support to consultants across our Business Groups and through our online Business Support Centre.

We offer hybrid work on a 37.5 hour timesheet weekly.

What You’ll Do

  • Support project engineers and scientists with day-to-day administration.

  • Produce and format high-quality documents within required timeframes.

  • Review and proofread non-technical documents for accuracy and compliance.

  • Assist with tender submissions, including CVs, certificates, and client reports.

  • Coordinate and contribute to team meetings (e.g. minute-taking, follow-ups).

  • Support with credit card reconciliations, timesheets, expenses, POs, and invoice coding.

  • Help onboard new starters (e.g. access passes, workstations).

  • Organise travel, medicals, inductions, and training bookings.

  • Perform data entry tasks, including soil/rock log inputs.

  • Promote a culture of collaboration, safety, quality, and client service.

About You

We’re looking for a proactive, tech-savvy administrator who thrives in a fast-paced environment and enjoys supporting a high-performing team.

You’ll bring:

  • 2+ years of experience in office or team administration.

  • Previous industry experience an advantage

  • Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook); familiarity with Office 365 tools (Teams, SharePoint, OneDrive) is a plus.

  • Excellent organisational and time management skills.

  • Strong communication and relationship-building abilities.

  • A self-starter mindset with a collaborative spirit.

  • A commitment to quality, confidentiality, and continuous improvement.
