Calvin United Church of Christ Church Part Time Secretary - 12 hours per week in Perrysburg, Ohio
The Church Secretary shall assist the pastor and consistory in the administration of the church and serve as the communication link between those serving various functions of the church, and wider community.
Responsibilities
- Provide clerical and administrative support to the pastor, Consistory, and committee chairs as agreed upon.
- Answer the telephone and email and ensure that messages reach the appropriate person (s) or follow through as necessary.
- Collect and distribute mail.
- Maintain organized filing systems (digital and physical).
- Greet and welcome visitors, service providers, and church members who visit the office.
- Ensure that all requests, news, events, and commitments are recorded on the church calendar and followed up as needed.
- Assist with preparation, printing, and emailing/mailing of materials for worship services.
- Provide clerical support as requested by the church staff and committee chairs.
- Prepare and distribute weekly announcements and bi-monthly newsletters, etc. and upload digital versions to appropriate platforms, such as Facebook.
- Compile and distribute monthly Consistory reports and yearly Annual Meeting reports.
- Maintain/update church family database in Realm software, email/contact lists, and Membership Directory.
- Compile data for conference Yearbook/reports (Data Hub).
- Maintain attendance records.
- Provide support for preparing and emailing/mailing materials for church activities
- Coordinate office, pastoral, and janitorial supply needs with the Treasurer.
- Accept items delivered to the church
- Update church voicemail as needed.
- Attend meetings as needed
- Coordinate volunteer coverage for the office when needed.
- Maintain a prioritized task list for management of responsibilities.
- Scan documents as needed to save on computer or send via email.
- Complete other duties as requested.
- Assist in tracking facility needs, and coordinate with Maintenance/Consistory for repairs/service calls.
Job knowledge and Skills
- High School Degree/GED
- Ability to meet the job requirements through comparable work experience.
- Strong computer and research skills with proficiency in MS Word, Publisher, and Realm church Software. Experience in Excel is a plus.
- Proficiency in running standard office equipment.
- Willingness and ability to learn new procedures and programs specific to the church.
- Ability to manage multiple tasks and priorities.
- Friendly and outgoing personality
- Ability to work with diverse types of people and all church groups.
- Excellent administrative and organizational skills.
- Sensitivity to confidential matters and ability to maintain confidentiality is necessary.
