We currently have an exciting opportunity for a Business Support Administrator.

Joining a national team of administration professionals, you will cover tasks in your region and nationally via an online Business Support Centre. Creating networks within your region and proactively seeking opportunities for future support will be an important focus of this position.

Would suite a highly energised, resilient, and confident team administrator with 3 years’ experience in a similar role.

Main Activities and Responsibilities: (including but not limited to)

  • Comply with all role specific HSE obligations (Safety)

  • Technical Group, Team Executive assistance; including but not limited to timesheet & expense review/entry, project procurement assistance, resource scheduling, maintaining team organization chart, other ad-hoc team administration requests.

  • Arrange, participate in and contribute to group meetings. Taking minutes and following up actions when required.

  • Assist group with onboarding of new starters

  • Administer technical group’s equipment register, and coordinate calibrations/maintenance as needed.

  • Monitor, self-assign & complete national administration tasks via the Business Support Centre.

  • Word processing of project reports and presentations ensuring consistency, quality and version control using WSP required templates/styles.

  • Tender preparation assistance, gathering insurances, certificates, CV preparation and client reports.

  • Travel management (including flights, hotels, cars etc.) in accordance with company Travel Guidelines and ensuring appropriate approval is obtained.

  • Assist with coordinating employee and project office mobilisation requirements; site and office-based resources, booking medicals, client/site inductions and training courses.

  • UBW (financial system) assistance; project procurement, opportunity creating assistance, account reconciliation.

  • Data entry of soil/rock logs in gINT

  • Assist with leave cover for other Business Support Administrators.

  • Other administrative duties as required.

Experience, skills and organisational knowledge

  • Typically 3+ years of administrative experience

  • Skilled in managing client expectations and achieving positive outcomes in challenging environments

  • Excellent communication and interpersonal skills

  • Ability to multi-task, prioritise and meet deadlines

  • Self-sufficient, highly organised, with excellent time management skills

  • Recognises the highly dynamic nature of our business and is flexible in changing circumstances

  • Intermediate to Advanced skill level across Microsoft Office suite (Word, PowerPoint, Excel and Outlook).

  • Familiar with Office 365 (including SharePoint and OneDrive for Business)
