Support Staff -- Law Firm (Full-Time)

Locations: Ottawa (Main Office) & Bluffton (Branch Office)

About the Firm

We are a small, client-focused law firm with practice areas including Estate Planning, Probate, Elder Law, Estate & Trust Administration, Real Estate, and Business Law. We are seeking a dependable, professional Support Staff member to assist with daily operations across both office locations.

Position Overview

This full-time role provides essential front office, administrative, and practice-wide support. Parttime may be considered. The ideal candidate is responsible, organized, personable, and able to maintain strict confidentiality while working in a client-facing environment.

Key Responsibilities

• Serve as the front office point of contact, greeting visitors, assisting at the firm window, and interacting with clients in a courteous, professional manner.

• Provide administrative support to attorneys and staff across all practice areas.

• Perform data entry, document preparation, and file management (digital and physical).

• Handle courthouse filings, deliveries, and other errands as needed.

• Assist with scheduling, phone calls, mail processing, and general office duties.

• Support basic marketing efforts, such as maintaining materials, coordinating outreach, and assisting with firm events (minor marketing skills a plus).

• Work between both the Ottawa main office and Bluffton branch office as needed.

• Maintain strict confidentiality of all client and firm information.

• Use sound judgment and problem-solving skills in daily tasks and interactions.

• Excellent people skills and a professional, positive demeanor.

• Demonstrated responsibility and dependability.

• Proficiency in Microsoft Office Suite (Word, Outlook, Excel, etc.).

• Strong problem-solving and communication skills.

• Ability to work collaboratively and support multiple team members.

• Valid driver's license and reliable transportation for inter-office and courthouse filings.

Preferred but Not Required

• Experience in a law office or professional office environment.

• Basic marketing experience or comfort assisting with marketing tasks.
