VP Strategic Project Manager

Job Responsibilities

  • Run the day-to-day operations for the AI organization to keep priorities moving and nothing falling behind.

  • Manage leadership meetings, staff meetings, and program reviews including agendas, notes, and follow-ups.

  • Track all action items and decisions, and consistently follow up until they are completed.

  • Maintain a clear view of ongoing initiatives, key milestones, and ownership across the team.

  • Regularly check in with teams to ensure progress is being made and commitments are met.

  • Escalate delays, gaps, or unclear ownership quickly and push for resolution.

  • Roll up updates across projects into clear, simple summaries for leadership.

  • Keep reporting accurate, up to date, and easy to understand.

  • Work with communications teams to draft and send updates, announcements, and leadership messages.

  • Ensure messaging is consistent and goes out on time.

  • Track budget, spend, and approvals; ensure alignment with finance processes.

  • Monitor vendor invoices and payments; follow up with procurement and finance to avoid delays.

  • Keep track of contracts, renewals, and vendor-related tasks.

  • Support hiring tracking, onboarding coordination, and team logistics.

  • Manage travel planning, offsites, and internal team events.

  • Coordinate training sessions and internal enablement activities.

  • Keep documentation organized including plans, decisions, and key materials.

  • Support governance routines such as leadership reviews and steering meetings.

  • Step in to help unblock issues and ensure tasks move forward across teams.

  • Follow through on details and ensure nothing gets dropped or forgotten.

Qualifications

  • Bachelor’s degree in Business, Operations, Engineering, or related field.

  • 6–10+ years of experience in operations, program coordination, or similar execution-focused roles.

  • Strong ability to track multiple workstreams and follow through on details.

  • Proven experience working across teams and keeping work on track.

  • Experience managing budgets, tracking spend, and working with finance teams.

  • Familiarity with vendor management, invoicing, and procurement processes.

  • Strong organizational skills and attention to detail.

  • Clear and direct communication skills.

  • Comfortable following up with stakeholders at all levels to ensure completion of tasks.

  • Ability to work in fast-paced environments with changing priorities.

  • Proficiency with tools such as Excel, PowerPoint, Jira, Confluence, or similar.

  • Experience in technology or enterprise environments preferred.

  • High level of ownership and persistence in getting work completed.
