The Assistant Facilities Manager / Facilities Coordinator supports day-to-day facility operations, vendor performance, work order management, compliance initiatives, and client-facing service delivery across assigned buildings or campus environments. This role combines hands-on facilities support, administrative coordination, and relationship management to maintain a safe, efficient, and responsive workplace. The position is ideal for a facilities professional with a strong customer service mindset, proven organizational skills, and a proactive, solutions-oriented approach.
Responsibilities
Support the facility management team with tactical planning that aligns with site goals and objectives.
Provide day-to-day operational support across assigned facilities or campus environments to ensure smooth and reliable operations.
Manage and maintain facility management tasks and administrative deliverables, including documentation and reporting.
Provide facility-specific support to project management teams, assisting with coordination and execution of facility-related projects.
Assist with the coordination of special events within the facility or campus, ensuring logistical needs are met.
Provide support for meetings, including event logistics and conference room coordination, to ensure spaces are properly set up and functioning.
Assist in scheduling and coordinating preventive maintenance and other planned activities to minimize downtime and service disruptions.
Oversee and manage work orders within the CMMS platform, including entry, tracking, follow-up, and closure.
Continuously monitor the facility or campus to identify operational concerns, service needs, and opportunities for improvement.
Deliver high-quality facility management services that support the client’s business operations and workplace experience.
Serve as a point of contact for client stakeholders, visitors, guests, and service providers, ensuring a professional and responsive experience.
Ensure timely follow-up and resolution of customer requests, service issues, and inquiries.
Coordinate with vendors, service providers, and onsite teams to ensure work is executed effectively and with minimal disruption to operations.
Foster strong working relationships with client representatives and internal partners to support high levels of service delivery and satisfaction.
Assist in developing and implementing programs, processes, and procedures that improve service delivery, reduce operating costs, and enhance productivity.
Support preparation of monthly and quarterly budget variance reports for assigned properties or areas.
Assist with development and execution of annual management plans for assigned buildings or campus locations.
Support management of expense and capital budgets in coordination with the facility manager and client stakeholders.
Assist with budget requests, financial analysis, accruals, and reporting activities as needed.
Research, track, and report on budget variances and operational spending trends to support informed decision-making.
Support compliance with internal policies, audit requirements, operational standards, and client-specific procedures.
Help ensure achievement of site Key Performance Indicators (KPIs) and monitor Service Level Agreements (SLAs) to identify risks and corrective actions.
Monitor vendor performance and overall service delivery to ensure contractual commitments and service expectations are met.
Coordinate with vendors to resolve service issues, address deficiencies, and drive performance improvements.
Evaluate subcontractor and vendor performance, including service execution and training compliance where applicable.
Support safe work practices and reinforce company policies related to safety, operational procedures, and regulatory compliance.
Assist in implementing hazard control measures and promoting a strong safety culture across the site.
Help ensure compliance with local codes, regulations, and operational standards.
Support updates and implementation of Emergency Response Plans, drills, and site readiness activities.
Provide support for after-hours facilities response and escalation when needed, helping to address urgent issues promptly.
Assist with operational audits, site inspections, and compliance reviews to identify and mitigate risks.
Escalate incidents, service failures, and operational risks in a timely and appropriate manner.
Support business continuity and risk mitigation efforts across assigned facilities.
Contribute to a culture of operational excellence, reliability, responsiveness, financial discipline, and best-in-class client experience.
Essential Skills
At least 2 years of experience in facilities management, property operations, workplace services, or a related field.
Experience supporting soft services operations, vendor management, and client-facing service delivery.
Familiarity with Computerized Maintenance Management Systems (CMMS), such as Corrigo or similar platforms.
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
Strong verbal and written communication skills to interact effectively with clients, vendors, and internal teams.
Proven customer service skills with a service-oriented mindset and commitment to responsiveness.
Working knowledge of budgeting, variance reporting, and operational financial processes.
General understanding of building operations, maintenance coordination, safety practices, and compliance requirements.
Proficiency in Microsoft Office Suite and other workplace technology tools.
Ability to identify issues proactively and support resolution with minimal disruption to operations.

Pay and Benefits
The pay range for this position is $28.00 - $28.00/hr.
