Amada Senior Care (Myrtle and North Myrtle Beach) is seeking a reliable, organized, and compassionate
Scheduler / Office Assistant to join our team. This dual-role position is essential to keeping our office running smoothly while ensuring our clients receive the highest level of care through effective scheduling and communication.
About the Role
As a key member of our office team, you will coordinate caregiver
schedules, support daily office operations, and serve as a primary point of contact for clients, families, and caregivers. This role requires strong organization, communication, and the ability to manage multiple priorities in a high-activity environment.
Key Responsibilities
Scheduling and Client Coordination
- Schedule shifts by matching caregiver qualifications and availability to client needs
- Communicate new assignments and schedule changes to caregivers and clients
- Proactively manage scheduling conflicts (call-offs, no-shows, emergencies)
- Ensure all shifts are covered and schedules are completed daily
- Coordinate caregiver placement, case coverage, and quality assurance
- Follow up with prospective clients and complete intake documentation
Office Operations and Administrative Support
- Answer incoming calls and respond to client and caregiver inquiries promptly
- Maintain accurate and up-to-date records in the database
- Enter notes regarding client and caregiver updates, issues, and changes
- Track and record KPIs and support reporting needs
- Maintain a professional, organized office environment
- Work closely with the Owners Jon and Gwen
- Validate caregiver hours and route for payroll processing
Caregiver Support and HR Assistance
- Contact caregivers regularly to update availability
- Assist with recruiting, interviewing, onboarding, and retention efforts
- Collect and maintain required documentation (licenses, insurance, certifications)
- Support employee recognition programs and office initiatives
- Assist with caregiver engagement efforts (birthdays, recognition, etc.)
General Responsibilities
- Manage multiple priorities in a fast-paced environment
- Maintain confidentiality of sensitive information
- Provide exceptional customer service to clients and caregivers
- Participate in an after-hours on-call rotation every other week, once fully trained and comfortable in the role
- Respond to urgent scheduling needs, call-offs, and client concerns during on-call periods
After-Hours On-Call Compensation
- On-call rotation occurs every other week after completion of training
- Time worked during on-call is paid in 30-minute increments
- All on-call time is compensated at time-and-a-half (1.5x regular hourly rate)
- Compensation begins when actively handling calls, texts, or scheduling issues
Qualifications
- High school diploma or equivalent required (college coursework a plus)
- 1-2+ years of office or administrative experience preferred
- Experience in home care or healthcare a plus
- Strong computer skills (MS Word, Excel, Outlook, web browsers)
- Ability to quickly learn scheduling and database software
- Excellent verbal and written communication skills
- Highly organized, detail-oriented, and dependable
