What we’re looking for:
The DGR Executive Assistance, will provide high-level administrative and operational support to the Executive Director, Donated Goods Retail Operations and all Sr. Directors of Donated Goods Retail to ensure the delivery of superior services and executive support tasks.
What you’ll be doing:
Perform advanced, diversified, and confidential administrative duties requiring broad and comprehensive experience
Responsible for managing executive level calendars to coordinate the planning and execution of logistics for internal and external meetings, trainings, conferences, and events
Draft, prepare, proofread and organize business correspondence, presentations, reports, spreadsheets, etc.
Determine significance of correspondence, submissions, and reports, including mail, emails, phone calls, and faxes, and handle as appropriate
Coordinate and manage special projects, as assigned
Maintains office supply inventory, evaluate new office products, place and expedite office supplies orders within budget parameters and verify receipt of supplies
Keep accurate records of expenditures; Prepare and process expense reports and invoices
Maintain electronic and paper filing systems and databases according to policies and procedures and maintain highest level of confidentiality in all matters
Maximize opportunities for joint ventures with other departments and ensure positive internal and external customer relations
Participate in all assigned meetings, trainings, and cross department teams
Requirements:
Bachelor’s degree or minimum four (4) years of experience providing executive support for senior level executives in a fast-paced environment
Knowledge and experience of executive protocol and office management
Strong working knowledge of Microsoft Office suite including Office, Word, Excel, PowerPoint
Exceptional written, verbal, and interpersonal communication skills
Strong analytical, administrative, organization, critical thinking, and customer service skills
Ability to solve problems, multi-task and work independently as well as with a team in a fast-paced environment
Demonstrated knowledge of process, project and program management theory and practices, with the ability to apply them when solving operational issues
High-level attention to detail and maintain a high-level of accuracy
Ability to be flexible in hours and work locations across greater service area to accommodate the needs of the Donor Services executive office
Ability to establish work priorities and coordinate multiple projects and demands simultaneously
Ability to effectively work with executive and management staff and interact with a wide variety of organizations, partners, staff, and customers
Must have access to reliable transportation and maintain good driving record, dependable transportation and telephony communication device
Working Environment Conditions/Requirements:
Ability to push, pull, and lift up to 30 lbs. with or without accommodations
Must be able to meet all physical requirements to perform all duties, including transporting and carrying materials and supplies to all designated locations to assist in meetings, conferences, and other events
