Position Summary

The Tax Research Administrator II (Level 2) is responsible for researching, analyzing, and resolving payroll tax notices across federal, state, and local jurisdictions. This role handles standard to moderately complex cases independently and performs detailed reconciliations to ensure compliance and accuracy.

The L2 role builds on foundational tax knowledge and requires the ability to interact with tax agencies, manage case portfolios, and contribute to timely resolution while meeting service level agreements. This position plays a key role in supporting operational efficiency and minimizing customer liability exposure.

What You’ll Do

Tax Notice Research & Resolution

• Research, analyze, and resolve payroll tax notices for multi-state tax entities within defined SLAs.

• Handle standard to moderately complex cases with increasing independence.

• Identify discrepancies related to filings, payments, tax rates, and account setup.

• Apply corrective actions to resolve notices and minimize penalties and interest.

• Escalate high-complexity issues to senior team members when required.

Reconciliation & Analysis

• Perform QTD and YTD reconciliation of wages and tax amounts (withheld, reported, and deposited).

• Analyze payroll registers and tax filings to identify and resolve variances.

• Support amendment and adjustment activities as part of resolution.

Agency & Stakeholder Interaction

• Communicate with tax agencies to research issues and resolve discrepancies.

• Collaborate with internal teams to gather required data and support case resolution.

• Provide assistance to business units on payroll tax-related inquiries.

• Demonstrate working knowledge of TPA and POA processes.

Case Management & Documentation

• Maintain and update cases in Salesforce with accurate progress, documentation, and communication logs.

• Ensure timely follow-ups with agencies and internal stakeholders.

• Adhere to defined processes, compliance requirements, and SLA commitments.

Systems & Tools Utilization

• Utilize payroll systems, tax filing platforms, and agency portals for research and resolution.

• Work across multiple systems to gather data and validate findings.

• Use tools such as Excel, Salesforce, and payroll platforms effectively.

Operational Support & Continuous Improvement

• Reprioritize workload to manage deadlines and minimize liability exposure.

• Support team initiatives, special projects, and process improvement efforts.

• Identify recurring issues and escalate trends for further analysis.

Required Qualifications

Education

• Bachelor’s degree in Business, Accounting, Finance, or related field

Experience

• 2–4 years of experience in payroll tax, payroll processing, or compliance-related roles

• Experience handling payroll tax notices and basic reconciliations

• Exposure to multi-state tax environments preferred

• Experience interacting with tax agencies is a plus

Technical Knowledge

• Working knowledge of:

o Federal Payroll Taxes

o State Unemployment Insurance (SUI)

o State Income Tax (SIT)

o Local taxes

• Understanding of tax filings, deposits, and basic amendment processes

• Familiarity with tax agency portals and payroll systems

Skills & Competencies

• Strong analytical and problem-solving skills

• Good written and verbal communication skills

• Attention to detail and accuracy

• Ability to manage multiple tasks and meet deadlines

• Strong follow-up and organizational skills

• Proficiency in Microsoft Excel and Word

• Ability to work independently and in a team environment

Preferred Qualifications

• Experience with payroll tax filing systems (e.g., MasterTax, UKG platforms)

• Exposure to amendment processing and notice resolution workflows

• CPP/FPC certification (or working towards it)

• General accounting knowledge
