Job Description:
Provide advanced, confidential administrative support to a senior business executive.
Manage extremely heavy calendars, including scheduling and coordinating internal/external meetings.
Handle multiple competing tasks, priorities, and projects simultaneously with strong multitasking skills.
Maintain discretion while managing high‑level client interactions and sensitive information.
Coordinate extensive domestic and international travel arrangements.
Provide comprehensive phone and email coverage, ensuring timely responses and follow‑ups.
Process a significant volume of expense reports with accuracy and efficiency.
Serve as a key communication liaison across teams including business functions, finance, personnel, and technology, as well as with external clients.
Act as a resource for basic company policies and procedures.
Quickly learn and adapt to a variety of software tools and systems.
Draft, sign, and distribute routine but moderately complex correspondence.
Communicate with executives and management to gather or relay key information.
Work fully onsite, with occasional remote flexibility depending on executive travel needs.
Maintains a high level of responsiveness, including occasional after‑hours engagement to meet critical deadlines or support time‑sensitive issues.
Qualifications:
5+ years of financial services support experience, executive-level support preferred.
Polished and professional in person, phone, and email communications.
Excellent time management, organization, multi-tasking and prioritization skills.
Advanced skills in Outlook and other Microsoft Office programs (Excel, Work, PowerPoint).
Strong attention to detail with the ability to work effectively under pressure and time constraints.
Proficiency with Concur.
Exemplary demonstrated work ethic.
Ability to learn quickly and take on new responsibilities.
Advanced administrative and analytical skills are essential.
