PART TIME - 2 days to start- could gradually move to 3 days, and then full time.
Looking for an Administrative Assistant & Coordinator for a prominent Architecture firm.
Job Description
The Project Coordinator position begins with a schedule of two days per week, increasing to three days, with the potential to become a full-time role based on office performance.
This role involves supporting teams by utilizing a wide range of developing professional skills. Responsibilities include scheduling meetings, client follow-ups, appointments, site visits, coordinating office needs, welcoming visitors, and providing general administrative support. The Project Coordinator assists the Director and Executive Assistant with various tasks, prepares meeting agendas, assists with meeting setup and cleanup, and takes minutes as required. The role also involves scheduling and organizing activities such as meetings, travel, conferences, and interviews, as well as answering phones, distributing mail, and processing expense reimbursements.
Responsibilities
Support teams using a wide range of developing professional skills.
Schedule meetings, client follow-ups, appointments, and site visits.
Coordinate office needs and welcome visitors.
Provide general administrative support.
Assist the Director and Executive Assistant with various tasks.
Prepare meeting agendas and assist with meeting setup and cleanup.
Order lunch and take minutes as required.
Schedule and organize activities such as meetings, travel, conferences, and interviews.
Answer phones, distribute mail, and process expense reimbursements.
Perform desktop publishing activities for reports, correspondence, and presentations.
Support other teams, such as Marketing, with administrative tasks.
Provide back-up coverage for reception as needed.
Essential Skills
High school education; college level preferred.
Typically 2+ years of related experience.
Experience in MS Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
Strong interpersonal skills and ability to interact with all levels of staff.
Ability to maintain confidentiality and adhere to business ethics.
Clear and professional communication skills, both verbal and written.
Proactive problem-solving skills and ability to collaborate on innovative solutions.
Ability to prioritize tasks and meet multiple deadlines.
Ability to work on multiple projects simultaneously.

Work Environment
Join an architecture firm with a team of 50 people. The office is an open space where you will have your own desk and greet incoming visitors. Enjoy a beautiful space with a nice kitchen. The role offers a hybrid work schedule, starting at two to three days per week.

This is a Contract to Hire position based out of New York, NY.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr.
