Job Description:
Summary:
This role provides high‑level administrative support in a fast‑paced, dynamic environment. It requires strong communication and customer service skills, advanced proficiency with Microsoft Office applications, and the ability to multitask and prioritize effectively. The position supports senior‑level management, handles confidential information, coordinates travel (domestic and international), manages calendars and expenses, and communicates with executives, clients, and internal teams. The ideal candidate is polished, proactive, highly organized, and able to thrive under pressure.
Qualifications:
3+ years of experience supporting a senior‑level manager
Advanced proficiency in MS Office: Outlook, Word, PowerPoint, Excel
Strong written and verbal communication skills
Excellent organizational skills with strong attention to detail
Ability to multitask in a fast‑paced environment
Professional, polished presence with strong customer service orientation
Strong phone, calendar management, and travel coordination skills
Experience with expense reporting and working in dynamic, changing environments
Ability to handle sensitive information with tact, diplomacy, and sound judgment
Responsibilities:
Provide advanced, confidential administrative support to senior‑level management
Communicate with executives and line management to gather and convey information
Manage calendars, schedule meetings, and coordinate conference calls
Arrange domestic and international travel, including securing visas
Process and track expense reports
Read, screen, and respond to incoming mail; ensure follow‑through on requests
Liaise with external groups when coordinating events or executive travel
Work with Sales to plan itineraries, coordinate points of contact, and support conference logistics
Track speaking engagements, meetings, and conference calls in internal web‑based systems
Assist with preparing presentations and shepherding them through publishing and compliance processes
Coordinate production and delivery of materials for meetings and conferences
Collaborate with other office assistants and provide backup support as needed
