The Estee Lauder Companies Administrative Assistant II in New York, New York

Description

We are seeking a highly organized, proactive Administrative Assistant to support the Chief Financial Offer as a key member of the office of the CFO admin team, and SVP, Finance Transformation. This role requires strong prioritization skills, discretion, and ability to operate effectively in a fast-paced, global corporate environment. An in office presence of 4-5 days per week is required.

Key Responsibilities :

Executive Support (CFO Office)

  • Partner closely with the CFO’s Executive Assistant & Chief of Staff to manage complex calendars, scheduling, and shifting priorities

  • Cooperate closely with other admin assistants and office services to coordinate meeting logistics, including securing meeting spaces, scheduling, and ensuring rooms are fully prepared (e.g., AV equipment functional, catering arranged, spaces set up and reset for subsequent meetings)

  • Support Finance & Strategy Leadership Team meetings and offsites coordination (as needed).

  • Partner closely with Executive Team offices to manage Executive Operating Team Meeting, including scheduling, agenda, participant changes, etc.

  • Support key CFO meeting preparations (e.g., Earnings, BOD, and ETM materials).

  • Support travel planning (domestic and international), including itineraries, logistics, and expense management

  • Prepare and manage meeting materials, agendas, and follow-ups as requested

  • Manage T&E and Corporate AMEX through the Concur system.

  • Effectively engage with internal and external stakeholders, including senior executives, ensuring clear communication and

SVP Finance Support

  • Manage a complex and dynamic calendar, including weekly prioritization of meetings as aligned with SVP.

  • Arrange domestic and international travel, including detailed itineraries and logistics

  • Manage T&E and Corporate AMEX through Concur system.

  • Prepare agendas, meeting materials, and email correspondence. Track follow-ups to ensure timely execution on action items.

  • Oversee the planning and execution of team meetings and offsites.

  • Effectively coordinate with internal and external stakeholders to ensure alignment and smooth communication.

  • Identify opportunities to improve administrative processes and drive efficiencies.

Qualifications

  • Associate or Bachelor degree preferred

  • Experience supporting and interacting with C-Suite leadership

  • Strong computer skills, including but not limited to Microsoft Outlook, Excel, PowerPoint

  • Strong communication skills both verbal/written

  • Must be proactive and demonstrate initiative

  • Detail oriented, able to prioritize, able to multitask & highly organized

  • Must be able to maintain confidentiality and exhibit discretion when dealing with both company staff at all levels and outside contacts
