CBRE Sr Meeting & Events Coordinator - NYC in New York City, New York

About the Role:

As a CBRE Sr. Meeting & Events Coordinator, you willsupport the planning and on-site execution of client meetings and events acrossmultiple offices. This role is part of the Workplace Experience function andplays a key role in providing high-quality service to clients and visitors. Youwill serve as the primary on-site point of contact in the New York office andcoordinate closely with cross-functional and vendor partners to ensure smoothevent operations.

What You’ll Do:

● Serve as the on-site coordinator for event operations,supporting all phases of events from setup through completion according toclient needs.

● Assist in developing event plans and maintaining planningtimelines for in-person and remote events. Help track progress and flag issuesas they arise.

● Prepare and distribute event details, including schedules,vendor orders, and setup instructions. Assist in preparing timelines andfloorplans for event flow, setup, and teardown.

● Support and Facilitate pre-event planning discussions withclients, including gathering requirements, coordinating vendors, managingcatering, A/V needs, and assisting with budget tracking.

● Verify pre-event setup, including room configurations andA/V arrangements, ensuring all details are accurate and ready for use.

● Maintain the meeting and events calendar for event spacesand support efficient scheduling and utilization.

● Order, track, and maintain inventory of event supplies toensure availability for upcoming events.

● Maintain and grow a network of trusted event vendors,cultivating new relationships to enhance service quality, coverage, and costefficiency.

● Act as the on-site contact during events, coordinatingwith workplace teams and vendors. Support food and beverage setup, refreshes,and breakdown to ensure seamless operations.

● Help prepare post-event summaries and assist in trackingcosts, documenting feedback, and identifying areas for improvement.

● Support reporting related to Service Level Agreements(SLAs), Key Performance Indicators (KPIs), and recurring operational updates.

● Assist with maintaining event playbooks, processdocumentation, and training materials to ensure consistency and operationalreadiness.

● Coordinate with cross-functional teams, vendors, andexternal partners. Confirm load-in schedules, setup expectations, and requiredcompliance documentation (e.g., COIs).

● Ensure all event activities align with safety, security,and building requirements.

● Identify opportunities for operational improvements andshare suggestions with leadership.

● Solve routine to moderately complex issues by applyingestablished processes and guidelines.

● Work on-site in the client’s New York City office fivedays a week.

What You’ll Need

● Bachelor’s degree preferred and 2–3 years of relevantexperience; equivalent experience and education will be considered.

● Demonstrated experience managing multiple eventssimultaneously with competing deadlines

● Experience reviewing, interpreting, and updating eventfloorplans, including seating layouts, AV placement, traffic flow, and safetyconsiderations, in partnership with Facilities and vendors.

● Working knowledge of event coordination processes and theability to solve moderately complex issues using established procedures.

● Ability to assess options and apply sound judgment basedon past precedent and technical understanding.

● Proficiency in Google Workspace (Docs, Sheets, Slides,etc.).

● Strong organizational skills with an eye for detail and aproactive, curious mindset.

● Ability to meet physical requirements, including standing,walking, bending, and lifting/carrying 50 lbs.● Comfortable with basic math used in budgeting and eventcost tracking.

● Strong written and verbal communication skills to conveyinformation clearly and professionally.

● Experience supporting client-facing functions andmaintaining positive client relationships.

NY Residents: CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum hourly salary for the Sr Meetings & Events Coordinator position is $33.00, and the max is $36.00. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience. This role will provide the following benefits: 401(K), Dental insurance, Health insurance, Life insurance, and Vision insurance.
