Peak Performers Administrative Assistant in New Rochelle, New York

The Team You Will Be Joining

You will be supporting a regional office within a large public health organization responsible for oversight of healthcare facilities and programs that protect the wellbeing of communities across the state. The team works closely with providers, regulatory systems, and internal staff to ensure compliance with federal and state standards related to long-term care services. This office plays a key role in maintaining accurate reporting, documentation, and communication that supports quality care for residents.

Major Duties

  • Provide high-level administrative support to program and survey staff

  • Complete required federal reporting tasks and maintain compliance documentation

  • Perform detailed data entry and reporting in the federal iQIES electronic reporting system

  • Create and maintain files according to federal and state requirements

  • Screen incoming correspondence and route to appropriate staff while ensuring timely follow-up

  • Prepare survey letters to providers and track survey event status in federal systems

  • Maintain survey tracking logs and related documentation

  • Receive and process incoming mail and handle scanning, faxing, photocopying, and document uploads

  • Organize, bind, file, and purge survey documents in accordance with agency policies

  • Generate electronic survey shells and prepare paper survey packets

  • Provide reception coverage and assist with general office coordination

  • Maintain adequate office supplies for administrative and survey staff

  • Support ad hoc administrative tasks as needed by the team

What are we looking for?

Minimum Qualifications

  • High school diploma or equivalent

  • At least two years of experience in a professional office environment

  • Strong customer service skills and ability to interact professionally with the public

  • Excellent attention to detail and ability to manage multiple priorities

  • Strong written communication skills with proper grammar, punctuation, and spelling

  • Proficiency with Microsoft Office, particularly Word, SharePoint, and Excel

  • Ability to enter, retrieve, and manage data in electronic databases

  • Strong organizational and time management skills

  • Ability to work independently and collaborate with a team

Preferred Qualifications

  • Familiarity with healthcare facility oversight, complaint investigations, or regulatory reporting

  • Knowledge of ASPEN, Health Commerce System (HCS), NYSECON, NFIS, or E-POC applications

  • Previous experience supporting programs related to nursing home oversight or similar healthcare regulatory environments

Exciting Opportunity Details

  • Compensation Rate: $22.00/hour

  • Length of Engagement: 1 year with possible 1-year extension

  • Days/Hours: Monday – Friday, standard business hours

  • Location: New Rochelle, NY (10801)
