The Senior Associate, HR Shared Service, working under general supervision, is responsible for applying existing organizational practices and procedures for the administration of human resources functions, encompassing HRIS, compensation, benefits, staffing, and compliance with legal regulations. This role requires a strong understanding of HR operations within a Shared Service environment, including the classification of employees (Exempt vs. Non-Exempt) to ensure payroll and legal compliance. The role delivers exceptional customer service to new hires and managers during the onboarding process, as well as addressing internal and external inquiries related to HR programs and initiatives.
Manage incoming calls and service request tickets to respond to employee or people leader inquiries, leveraging prior experience in an HR Shared Service environment to meet established Service Level Agreements (SLAs).
Execute core HR administrative duties—including data management, onboarding/offboarding, and payroll processing— ensuring accurate employee classification (Exempt vs. Non-Exempt) in alignment with labor regulations.
Monitor HR service KPIs—such as resolution rates, response times, and data accuracy—to ensure operational efficiency and develop reporting templates on key HR indicators for senior stakeholders.
Interpret HR policies to execute daily workflows—including benefits, compliance, and data management—while providing dedicated transactional and reporting support to HR managers.
Support special HR projects—such as benchmarking, engagement surveys, and tech research—by coordinating project activities, conducting research, and preparing key deliverables.
Assists in record-keeping and creating and updating HR business processes mapping and internal standard operating procedures through research, information gathering, and application of analytical ability.
Assists in the preparation of HR-specific communications related to services offered by the HR Shared Service function as per established processes.
Assist in updating HR Shared Service policies—including benefits, onboarding, and compliance—to ensure continuous alignment with legal requirements and organizational standards.
Support HRIS, compensation, and benefits processes, delivering high-quality service during onboarding and internal movements while ensuring staff are informed on HR rules and regulations through orientations and briefings.
Maintain accurate and confidential HR records to ensure compliance, while coordinating data integrity and information transfers with external payroll suppliers.
Education: Bachelor’s Degree (preferred) in Human Resources, Organizational Development, or any other related discipline or commensurate work experience.
Experience: Minimum 2-3 years of work experience in Human Resources, with at least 1 year specifically within an HR Shared Service or centralized operations model.
Knowledge: Strong foundational knowledge of HR compliance, including a clear understanding of Exempt and Non-Exempt employee classifications and their implications for payroll and labor law.
Skills: Proficiency in HRIS systems, analytical thinking, and a customer-service-oriented mindset.
Work Requirements: Involves occasional (defined as one-third or less of the time) lifting of no more than 10 pounds at a time. Work is performed primarily in a seated position and entails no significant stooping, standing, climbing, walking, etc. Many sedentary jobs require good use of the hands and fingers for repetitive hand-finger actions. Working conditions occur within low to moderate noise levels related to the use of standard office or classroom equipment.
