Description

The Student Support Office Assistant provides logistical support, including student follow-ups, appointment scheduling, and notetaker coordination, as well as completing training to assist with the review of accommodations and conduct introductory student meetings for services. The Student Support Office Assistant has a responsibility to uphold the Americans with Disabilities Act, Section 504 of the Rehabilitation Act, and the Americans with Disabilities Act Amendments on campus. The assistant provides support for both students and staff within the department and collaborates on services to ensure the student’s needs are met in compliance with federal law.

Specific Duties and Responsibilities

  • Assist with the evaluation of documentation for reasonable accommodations and assist with the student meetings for accommodations in coordination with the Director.

  • Assist with the review of disability documents from high schools, Child Study Teams, and Medical and Mental Health Professionals to determine student eligibility prior to an intake appointment.

  • Coordinate all aspects of scheduling intake appointments and scanning necessary documents for the appointments.

  • Process all approved student requests for notetakers and scribes during the semester for classes, tests, placement tests, and other college activities. Requests for Academic Accommodations will include working with registered students, professors, and staff.

  • Responsible for responding to Office of Student Support emails, phone calls and walk-in traffic regarding information on Office of Student Support New Student information, procedures, and the intake process.

  • Maintain accurate, comprehensive, confidential, daily, and up-to-date notes/records within a database, assist with file scanning, and provide reports on department data as requested.

  • Assist with follow-up calls, emails, and appointments at the direction of the Director.

  • Assists the department with the promotion of awareness of disability issues and initiatives within the college community through service on appropriate committees, college-wide, and community events.

  • Proctor exams as needed.

  • Other duties as assigned.

OVERALL PURPOSE AND RESPONSIBILITY:

The primary and most important overall responsibility of all employees is to provide service in a pleasant, helpful, and effective manner to our students and other members of the College community.

Minimum Qualifications

Education Required:Associate’s degree required

Experience Required:

Previous experience in one of the following areas: customer service, office management, working with students with disabilities, work experience in a Higher Education setting, Case Management and Child Study Team. Disability services, Academic Accommodations in higher education, the Americans with Disabilities Act, the ADAA, and Section 504 of The Rehabilitation Act of 1998.

Experience preferred: at least two (2) years of experience in two or more of the areas detailed above.

Skills/Abilities /Knowledge /Other Requirements:

  • Must be able to operate in compliance with confidentiality requirements.

  • Ability to work a flexible schedule, maintain consistent scheduled office hours, and accommodate student and college appointments at all locations. Hours will fluctuate based on the college calendar and student needs.

  • Well organized with an attention to detail for case management and required student follow-up.

  • Demonstrated ability to respond in an appropriate and timely manner to inquiries (students, families, faculty, staff, community) via phone and email.

  • A commitment to serve as an advocate for individuals with disabilities while maintaining effective relationships with campus and community constituents.

  • Ability to communicate effectively regarding accommodations and referrals, on or off campus.

  • Excellent customer service, verbal and written communication, interpersonal, and computer skills. Patient and willing to repeat information as needed.

  • Proficient in Google Docs, Microsoft Office Suite (Word, Excel, PowerPoint), email software, and database systems.

INSTITUTIONAL EFFECTIVENESS:

Collaborates with department members and/or the Compliance, Assessment and Research team to support planning, assessment, data collection and reporting for continuous improvement of the college.
