This role ensures that all necessary supplies are available to meet patient care needs while maintaining inventory control, negotiating with vendors, and managing supply distribution across multiple PHC locations.REPRESENTATIVE EXAMPLES OF WORK:Procure and distribute medical and office supplies, equipment, and other necessary goods for PHC and outside agencies.Maintain supply inventory, conduct physical inventory audits, and reconcile discrepancies to minimize waste, loss, and theft.Develop and implement inventory management systems to optimize storage, streamline operations, and track supply levels.Coordinate purchasing functions, including bids, requests for proposals, vendor negotiations, and special orders.Oversee fixed asset management, ensuring proper documentation, tagging, and reconciliation of assets.Facilitate the proper use of county vehicles by PHC employees, including reservations and maintenance coordination.Manage vendor payments, process invoices, and ensure accurate billing for supplies, postage, and motor pool usage.Handle incoming and outgoing mail, parcels, and packages, including tracking shipments and ensuring timely deliveries.Ensure compliance with PHC Corporate Compliance Guidelines, HIPAA regulations, and safety standards.Maintain cleanliness and sterilization of medical tools, exam beds, and equipment in clinical areas.Assist with basic biomedical needs, including coordination of minor medical equipment maintenance, troubleshooting issues, and ensuring proper sterilization protocols.Organize the disposition of surplus property in accordance with county policies.Oversee the management, maintenance, and troubleshooting of company printers, ensuring supplies such as ink and paper are stocked and coordinating repairs as needed.OTHER DUTIES: Assist in the development of annual department budgets as directed by the Chief Financial Officer.Perform other related duties as required or assigned.SUPERVISION RECEIVED: Works under the direction of the Materials Management Supervisor.SUPERVISION EXERCISED: None. WORKING RELATIONSHIPS: Frequent interactions with PHC departments, external vendors, and outside agencies to ensure the effective procurement and distribution of materials. Regular collaboration with the PHC Finance Department. Works closely with patient-facing staff to ensure adequate supply levels for optimal patient care.REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:KNOWLEDGE: Knowledge of purchasing, inventory control, and asset management best practices. Understanding of medical office procedures, HIPAA compliance, and safety regulations. Familiarity with biomedical equipment maintenance and sterilization procedures. Working knowledge of modern medical office practices and procedures. Working knowledge of medical terminology. Working knowledge of business English, spelling, punctuation and math. Working knowledge of the principles and practices of HIPAA compliance. Working knowledge of the PHC Corporate Compliance Guidelines. SKILLS: Proficiency in computer applications, including Microsoft Excel, word-processing software, and inventory management systems. Strong organizational skills, attention to detail, and ability to handle multiple priorities. ABILITIES: Excellent leadership, communication, and customer service skills, with the ability to supervise and mentor staff. Ability to work independently with minimal supervision and make responsible decisions. Ability to learn assigned tasks and procedures. Ability to perform detailed work in a precise and accurate manner, manage multiple tasks and priorities, work independently and work in a stressful and hectic environment. Ability to use initiative and good judgment and sufficient maturity to handle the confidential aspects of the work. Ability to communicate effectively in the English language, orally and in writing. Ability to establish and maintain effective working relationships with diverse individuals and groups. Ability to always put patients at the center of PHC’s service model and carry out caring, supportive customer service in all duties. Ability to work as a part of a team, proactively seeking out ways to help patients and co-workers alike.MINIMUM QUALIFICATIONS:An equivalent combination of education and experience may be considered.EDUCATION: High school diploma or GED required; one post-secondary course in Accounting preferred.EXPERIENCE: At least three years of administrative support experience in an office setting with customer service and data entry responsibilities. Experience in a healthcare setting preferred. SPECIAL REQUIREMENTS: Requires a valid Montana Driver’s License. Requires immunizations or proof of immunity to certain infectious diseases and a TB test. May involve exposure to biohazards, chemicals, and other potentially hazardous materials. Requires handling mail processing equipment, including conveyor belts and other moving parts. Work schedule may include evenings and weekends.
