To accomplish this, the Program Coordinator will work with a variety of internal and external partners, and is responsible for ensuring success of various programmatic processes. The Program Coordinator will report to the OEN's Director of Community Engagement. The University of Minnesota encourages a healthy work life balance for employees. Job Responsibilities Contract Management & Member Relations (60%) Collaborate with new and returning community members to complete membership contracts and service agreements, proactively reaching out to existing customers regarding their renewal, and serving as the primary point of contact for customer contract and invoicing questions. Partner with the University's Office of General Council and Office of External Sales on processing contracts, serving as the OEN liaison; working collaboratively to approve contracts and update contract language and requirements. Ensure continuous improvement of the contracting process. Explore, develop, and implement new administrative initiatives and workflows in order to improve efficiency and effectiveness for the OEN and its members. Improve efficiency and effectiveness of CRM and other software processes, data structure, and automations. Collect, update, and manage all member customer data, including contact information, membership status and details, and program participation. Develop reports on member data to support the cross-organizational administrative needs such as budgeting projections, membership drives, grant reporting, program evaluation and membership renewal. Program Support (35%) Assist with the development and implementation of event marketing, communications strategies, and logistics, including managing online web conferencing platforms and accessibility requests, and documenting processes. Coordinate with committees and work groups on virtual event planning, meeting scheduling, and documentation to support successful program implementation. Oversee workshop planning processes in collaboration with OEN staff and members, scheduling and coordinating workshop details to ensure that goals are met and programs run smoothly. Manage contracts, communication, and initiate stipend payments for workshop presenters and related member activities. Research and secure venues for in-person events, negotiating quotes and agreements with vendors. Manage application and registration technology and processes, as well as relevant follow-up communications, reporting, and invoicing follow-up for committees, certificate programs, community events, etc., in collaboration with OEN team members. Support new member onboarding and outgoing member processes, update member information, and maintain organized records in corresponding platforms and listservs. Coordinate annual Steering Committee recruitment process, schedule meetings, and maintain organized documentation related to Steering Committee engagement. Provide administrative support for special projects including grants. Other Duties (5%) Collaborate with colleagues across the organization on other administrative tasks and duties as assigned. Qualifications Required Qualifications BA/BS with at least 2 years of professional experience, or a combination of education and experience equal to 6 years. Ability to provide exceptional customer service and collaborate effectively with people from a variety of communities, backgrounds, and identities. Ability to learn, experiment with, and comfortably use a variety of technologies to support operations. Ability to effectively prioritize and work on multiple tasks with concurrent deadlines and demonstrate effective time management skills and efficiency. Strong organizational skills and attention to detail. Ability to develop and deliver courses in ways that effectively account for a variety of diverse backgrounds, communities, identities, and abilities. Preferred Qualifications Prior experience working with contracts and external sales. Experience with platforms including Destiny One Registration System, Qualtrics, CRMs, and/or workflow management software. Proficiency in using Google Workspace. Experience with calendaring or scheduling. Pay and Benefits Pay Range: The salary range for this position is $65,000 - $70,000. Final salary offers are dependent on the candidate's experience, skills, and internal equity within the department.
