Dental Coordinator, GPR Program provides administrative and clinical support to the faculty, residents and staff in the General Practice Residency (GPR ) Program under the supervision of the Manager, Clinic Operations & Revenue Management. Duties and Responsibilities 1. Support the Program Director in the daily operations of the GPR Comprehensive Care Clinic and Limited Care Clinic. 2. Manage clinic correspondence, including answering phone calls for residents and faculty; responding to patient inquiries, questions, and complaints; taking accurate messages; and appropriately escalating unresolved concerns. Sort and distribute incoming mail, prepare and send inactivation letters, and manage other necessary patient communications. Maintain current residency and clinic information for the website and printed materials. 3. Maintain the residency\'s centralized appointment system within the School of Dentistry and affiliated hospital sites. Schedule and confirm patient appointments while coordinating closely with hospital partners and community provider referrals. Communicate essential information regarding patient management, chart documentation, fee schedules, required paperwork, and electronic systems. Serve as a liaison between residents, faculty, hospital staff, and patients. 4. Assign patients to residents in coordination with the Program Director and ensure appropriate case distribution and continuity of care. 5. Ensure accurate entry of patient insurance information for both private and state programs. Verify active coverage for state insurance at each appointment. Coordinate with Patient Financial Services regarding pre-authorizations as needed and assist with clinic accounts receivable functions when required. 6. Maintain the axiUm appointment book and daily clinic schedules, including patient scheduling and monitoring faculty coverage to ensure appropriate clinic support. 7. Under the direction of the Program Director, audit patient charts for graduating residents to ensure all treatment is properly documented and balances are paid in full. Facilitate patient chart inactivation or trans er, record audit outcomes, and process related paperwork. 8. Provide orientation and training materials to new residents and students regarding clinic and group procedures. Attend meetings, training sessions, and seminars as directed by Program Director and Manager. 9. Monitor resident attendance and report concerns to the Program Director as appropriate. Ensure compliance with MUSoD policies and procedures, as well as all safety, regulatory, and accreditation requirements. ***** OTHER EXPERIENCE AND QUALIFICATIONS: Required Knowledge, Skills and Abilities High school diploma Minimum of 2 years of related experience. Medical or Dental office work, including receptionist duties, dental insurance processing, or other office management experience deemed appropriate by the Director. Excellent problem solving, planning, organizational and customer service skills. Excellent listening, written and verbal communication skills. Ability to work and communicate with people from diverse populations. Ability to work independently in a high-volume academic health care environment with little supervision and frequent interruptions. Ability to maintain confidentiality Microsoft Office proficiency.
