Overview

The Senior Associate, will execute, coordinate, and follow up on the different operational and administrative functions of the Human Resources department, ensuring compliance with local regulations, effective employee support, and the proper management of talent processes, recruitment, personnel administration, occupational health and safety, and general services.

Responsibilities

Talent Acquisition

  • Submit and follow up on job requisitions for open positions.

Hiring & Employee Administration

  • Prepare and execute employment contracts.

  • Conduct candidate reference checks (regional scope).

  • Create and maintain employee files.

  • Register employees in payroll systems (TRESS and CS).

  • Submit employee transactions to payroll (hires, terminations, salary changes, and general updates).

  • Request and manage employee credentials and work tools via ServiceNow.

  • Schedule equipment delivery appointments.

  • Coordinate onboarding processes, including inductions and cross-functional meetings (regional).

  • Ensure timely updates in CS system.

  • Update employee records and prepare documentation for promotions and salary adjustments.

Offboarding (Terminations)

  • Process employee terminations in payroll and CS (regional).

  • Manage sensitive terminations (in coordination with legal teams to mitigate risk).

  • Prepare termination documentation.

  • Conduct offboarding processes (exit interviews, follow-up, asset recovery, etc.).

Employee Benefits (Insurance)

  • Submit employee enrollments and terminations to insurance brokers.

  • Coordinate onboarding sessions for benefits usage.

  • Support employees to ensure proper service from the broker.

  • Track claims trends quarterly.

  • Address employee inquiries regarding claims and reimbursements.

Health, Safety & Policy Management

  • Ensure compliance with local Health & Safety regulations (including NOM-035: psychosocial risk and NOM-037: remote work health and safety).

  • Participate in safety brigades and first aid teams.

  • Coordinate PTU (profit sharing) calculation and payment with external agencies.

  • Maintain and update HR policies and communications in Janus.

  • Support HR process certifications by providing required documentation (regional).

Corporate Reporting

  • Prepare quarterly and annual Corporate Social Responsibility reports.

  • Perform monthly headcount reconciliation.

  • Maintain the annual Business Continuity Plan (BCP).

  • Follow up with employees on mandatory training, surveys, conflict of interest disclosures, and performance evaluations (regional).

General Services & Employee Support

  • Coordinate with vendors on maintenance, security, and facility-related matters.

  • Organize employee engagement activities (year-end events, Mother’s/Father’s Day, summer events, wellness initiatives, etc.).

  • Manage internal communications.

  • Approve vacation requests through the HR system.

  • Maintain permanent employee records.

Savings Fund Administration

  • Manage employee loans from the savings fund.

  • Execute annual savings fund disbursement (August).

  • Upload biweekly contribution and loan deduction files.

Vendors (REPSE) & Intern Management

  • Review vendor relationships and manage contracts.

  • Ensure vendors upload required documentation to the Xternall portal.

  • Track and manage vendor payments.

  • Maintain documentation and records for interns.

  • Process stipend payments for interns.

Operational Coordination & Regional Support

  • Manage onboarding process: verify employment history, welcome new hires on their first day, and provide contracts and policies.

  • Notify HR teams of employee terminations for CS updates.

  • Collect attendance lists when MX employees attend external training sessions.

  • Support ISO 27001 compliance by gathering required documentation and evidence.

  • Send reminders to employees (e.g., personal data updates in CS, conflict of interest declarations).

  • Collect information for Talent Hub (TH) when required.

  • Act as a point of contact between RS Mexico personnel and other regional stakeholders.

Qualifications

  • Experience: Minimum of 5 years in Human Resources (personnel administration).

  • Labor Law: Strong knowledge of Mexican labor laws.

  • Language: Intermediate English (approx. 60% proficiency; tools and questionnaires in English).

  • Health & Safety: Knowledge of NOM-035, NOM-037, and related regulations.

  • Excel: Intermediate level.

  • Basic Finance & Administration: Budgeting, petty cash management, expense reporting.

  • Soft Skills: Teamwork, assertive communication, attention to detail, strong organizational skills, use of AI tools.

  • Self-Management: Ability to prioritize tasks independently and meet deadlines.
