Job Title: Payroll Process Analyst (Documentation & Controls)
Location: Remote- Must live locally for occasional On-site as Needed, Menlo Park, CA
Type: Full-time, 9-Month Contract
Pay Range: $55 - $68 per hour
About the Role
We are seeking a Payroll Process Analyst to build, maintain, and enhance end-to-end payroll documentation and controls for a leading organization. This role is a great fit for someone who understands payroll operations and can translate complex processes into clear, actionable documentation for a cross-functional team.
What You’ll Do
Own and manage the payroll documentation library, including SOPs, desk procedures, playbooks, controls narratives, and process maps.
Create detailed, role-based procedures for payroll cycles: regular, off-cycle, retro, year-end, bonuses, leaves, and more.
Document Workday payroll flows and integrations (including KRONOS timekeeping, benefits, GL, and cash) and maintain version control.
Define and maintain key controls for payroll processes, collaborating with internal audit and accounting teams on control design and SOX-aligned evidence.
Build and refine checklists, validation steps, and standardize retro and exception handling (on-call, overtime, garnishments, leaves).
Lead process mapping (SIPOC, swimlanes) to identify gaps, risks, and improvement opportunities.
Develop QA frameworks and peer review protocols for documentation updates.
Monitor error trends and escalations, recommend process fixes, and create knowledge articles.
Create quick-reference guides, decision trees, and training materials for payroll staff.
Coordinate change communications when payroll processes or systems are updated.
Ensure all documents are accessible, searchable, and aligned with access controls.
What You’ll Bring
Must-Haves:
3-5 years of technical writing experience, including payroll SOPs and controls documentation
Excellent writing skills with the ability to explain complex steps clearly and concisely
Experience with process mapping tools (e.g., Visio)
Ability to partner effectively with subject matter experts across Payroll, HRIS, Benefits, and Audit
Nice-to-Haves:
Certifications: FPC/CPP, PMP/Lean/Six Sigma, or Workday
Hands-on experience with Workday Payroll or similar HCM/Payroll systems
Strong understanding of U.S. payroll: FLSA, multistate rules, retro calculations, retirement plan eligibility, year-end forms
Background in Payroll Operations or Payroll/HRIS Business Analysis

Full-time, day shift (8am-5pm PST)

One panel interview; no formal skills test required
40-hour onboarding and training provided

Pay Details: $55.00 to $68.00 per hour
