Job Description

Position Title: OTC Analyst

Reports To: OTC Account Lead

Direct Reports: N/A

Mission

The mission of the OTC Analyst is to ensure the accuracy and efficiency of the Order to Cash process by proactively managing customer accounts, facilitating timely collections, and resolving disputes. This role requires strong analytical skills, attention to detail, and effective collaboration with cross-functional teams to support the company’s financial objectives and deliver excellent customer service.

Key Responsibilities

  • Monitor customer invoice uploads, status, and troubleshoot issues with portals.

  • Collect payments from national and/or international accounts to mitigate risk, uncover trends, and determine and report on adverse risk exposure.

  • Maintain and update customers' accounting accounts, monitor and close process gaps and inconveniences in alignment with interrelated areas, and escalate to the OTC Leader when necessary.

  • Perform reconciliations of assigned customer accounts to determine the actual balances of their accounts receivable.

  • Review and monitor the process of releasing customer orders and blocks, based on assigned credit limits, and manage reviews within a period of no more than 24 hours.

  • Maintain accurate and timely payment records in the AR of assigned customers, ensuring correct application and ongoing monitoring.

  • Monitor, recommend, and participate in AR improvement processes.

  • Execute the DOA for all authorizations of credit limits and order releases.

  • Send customers' account statements periodically.

  • Participate in teamwork activities across all functional areas of the company to improve OTC-related processes.

  • Perform and manage dispute resolution with customers.

  • Follow up and resolve customer disputes by telephone, video conferences, email, and necessary meetings to close topics that affect collection or AR.

  • Perform additional duties as required by the operation or management.

  • Attend meetings proactively and schedule sessions for issue resolution.

  • Support the stabilization of billing processes, including identifying opportunities to improve or automate billing.

Secondary Responsibilities

  • Collaborate with Sales, PTP, Customer Service, and Master Data teams to improve AR processes (DSO and WCT).

  • Work closely with customers to obtain the appropriate documentation necessary to carry out ERP compensation processes, resolve open balances, and ensure the credibility of AR information.

  • Provide necessary training for the OTC team or other areas of the business as needed.

Qualifications

  • Professional in Business, Accounting, Finance or at least 2.5 years of experience in a Collections position, managing portfolios.

  • Excellent collection techniques and knowledge of AR conciliation.

  • Multi – tasks and analysis tools.

  • English: level C1. Additional languages are a plus.

  • Proficiency in various software applications is required, with significant use of MS Office. Depending on the business unit, advanced knowledge of SAP and Oracle may also be necessary.

  • Excellent verbal and written communication.

  • Strong skills demonstrated to interact with different areas and stakeholders’ management. Local languages as needed.

  • Leadership capabilities focused on problem solving.

  • Strong tools and ability to work as a team with OTC related areas.

  • Experience managing MS Office, SAP and Oracle systems.
